General Function:

Under the supervision of the AmeriCorps Program Coordinator III, the Program Associate is responsible for assisting in the administration of the MFS AmeriCorps Program, supporting members on the MFS AmeriCorps Team and staff at MFS AmeriCorps sites, providing community outreach and awareness on MFS AmeriCorps opportunities, and general administrative support.

Program Support

* Experience in administrative support

* Experience developing and managing data and record keeping systems

* Advanced knowledge and competency to operate a personal computer. Advanced competency in using Word, Excel, Google platforms, and various database programs

* Possesses excellent time management and organizational skills

* Ability to effectively manage and maintain confidential and sensitive information

Teamwork

* Ability to work independently and to collaborate with other MFS staff, members, and volunteers and to model effective teamwork skills.

Essential Duties and Responsibilities:

* Support the Coordinator in member recruitment outreach and messaging, including attending recruitment events

* Leading member recruitment administrative tasks such as tracking applicants, gathering application materials and scheduling of interviews/meetings

* Support new member intake process, gathering necessary paperwork from members and (with training) conducting Criminal History Check components in alignment with AmeriCorps requirements

* Support member and staff orientations and trainings including preparation/planning, securing locations/virtual set-up, materials purchasing and development, coordinating meals, communication, and clean-up/follow-up

* Provide individual member support and communication as needed - including meeting/training follow-up, deadline reminders, data input, and applying for resources such as SNAP and Trimet assistance

* Schedule AmeriCorps related meetings throughout the program year and communicate with participants

* Support Coordinator in maintaining member files, ensuring they contain all required paperwork

* Support data collection and reporting in the ETO database

* Support the Coordinator in creating content for social media, public relations and marketing efforts, and networking tools for members and staff

* Effectively and consistently market the organization, communicating about both AmeriCorps and MFS and its programs in a way that is both compelling and on message. Follow marketing guidelines in place when communicating with staff, members, volunteers, clients, partners, and potential supporters

* Comply with AmeriCorps and Metropolitan Family Service policies and procedures as outlined in the AmeriCorps Handbook and MFS Employee Handbook

* Receive and pursue ongoing professional development opportunities on AmeriCorps guidance, community engagement, equity and justice

* Other duties as developed in collaboration with the AmeriCorps Coordinator and PCEF Outreach Coordinator

Qualifications

Knowledge, Skills and Abilities Required:

* Knowledge of and experience with complex database systems

* Ability to develop and manage data and record keeping systems

* Knowledge of and experience with recruitment and outreach best practices

* Ability to work independently and to collaborate with other MFS staff and members

* Ability to communicate effectively with a broad range of individuals and groups

* Fluency and ability to communicate effectively in a language in addition to English highly valued

Education and Experience Requirements:

* Minimum of an Associates degree in public service, education, recreation or human services related field or equivalent experience

* Experience serving or working in an AmeriCorps program highly valued

* Experience working in school based academic enrichment, recreation or social services programming is preferred

* Experience working in collaboration with a variety of agencies and programs

Other Requirements:

Personal transportation allowing for travel within the Portland Metropolitan area in a timely manner. If driving a personal vehicle must maintain a valid driver license for the state of residency, personal auto liability insurance coverage and a driving record permitting coverage under the agency auto liability policy.

This position is considered a covered position with access to vulnerable populations and requires a 3 part criminal history check including a nationwide NSOPW search, an FBI fingerprint check, and a state of residence and state of service check. Offers are contingent upon successfully completing this process.

Work Environment:

Work is normally performed in an office environment and/or at other locations as deemed necessary. May require occasional early morning, weekend or evening work. Position requires ability to sit for extended periods as well as stand occasionally. Position requires use of computer, telephone, fax machine, copier and may require accessing locations by use of stairs.
