Job Description :

The University of Virginia seeks a Program Coordinator to join The Foundry, UVA's pan-university student entrepreneurship support center. The Program Coordinator plays an essential role in creating and maintaining a welcoming space where students and alumni can connect with each other, build their businesses, find mentorship, and start their entrepreneurial journeys.

This position is responsible for the day-to-day operations of The Foundry space and coordinates student-facing programming and events. The Program Coordinator ensures that The Foundry remains a safe and productive environment where any student can explore their entrepreneurial ideas.

Stakeholder Areas of Impact:

Students:

  • Serves as the primary point of contact for students utilizing The Foundry space
  • Coordinates student access and scheduling for The Foundry facilities
  • Supports student entrepreneurship events and programs
  • Assists students in accessing Foundry resources and connecting with mentors
  • Maintains communication channels with student entrepreneurs and organizations.

Faculty & Staff:

  • Coordinates with faculty and staff for space usage and programming needs
  • Supports the execution of faculty-led workshops and events
  • Assists in maintaining relationships with various schools and departments
  • Facilitates cross-departmental collaboration for entrepreneurship initiatives.

Space Management:

  • Oversees daily operations of The Foundry facility
  • Manages space scheduling and reservations
  • Ensures proper maintenance and organization of the space
  • Maintains inventory of supplies and equipment
  • Coordinates with facilities management for maintenance needs.

Primary Responsibilities:

Program Support and Event Management:

  • Coordinates the planning, implementation, and execution of The Foundry's events and programs
  • Manages event logistics including scheduling, room setup, catering, and technology needs
  • Maintains program calendars and coordinates with various stakeholders
  • Supports student venture programming and pitch competitions
  • Assists with workshop and speaker series coordination.

Space Operations:

  • Manages daily operations of The Foundry space
  • Oversees space access and security protocols
  • Coordinates space reservations and usage schedules
  • Maintains organization and cleanliness of the facility
  • Manages equipment and supply inventory.

Administrative Support:

  • Maintains accurate records of space usage and program participation
  • Processes program-related paperwork and documentation
  • Manages communication channels including email, social media, and newsletters
  • Supports budget tracking and expense processing
  • Assists with data collection and reporting.

Community Building:

  • Helps create a welcoming environment for all students
  • Facilitates connections between students and mentors
  • Supports student organization initiatives
  • Assists in maintaining The Foundry's online presence
  • Helps coordinate community-building events and activities.

Required Qualifications:

  • Bachelor's degree and one year of professional experience or High School diploma with 5 years of relevant experience
  • Demonstrated experience in program or event coordination
  • Strong organizational and time management skills
  • Excellent interpersonal and communication abilities
  • Proficiency in Microsoft Office Suite and standard office technology
  • Experience in space or facility management preferred
  • Interest in entrepreneurship and innovation.

Preferred Qualifications:

  • Experience in higher education or student programming
  • Background in event planning or space management
  • Knowledge of entrepreneurship ecosystems
  • Experience with social media and communication platforms
  • Demonstrated ability to work with a variety of populations
  • Experience with budget tracking and reporting.

Technical Skills:

  • Proficiency in Microsoft Office Suite
  • Experience with event management software
  • Familiarity with social media platforms
  • Knowledge of basic audio/visual equipment
  • Understanding of space management systems.

Success Metrics:

Space Management:

  • Maintain 85%+ student satisfaction with Foundry space and resources
  • Process 95% of space requests within 24 hours
  • Complete weekly facility inspection reports with 100% compliance
  • Maintain accurate inventory with monthly audits.

Event Management:

  • Successfully execute 30+ events per semester
  • Achieve 90% on-time start rate for all events
  • Maintain 85%+ participant satisfaction rating for events
  • Complete all event setup/teardown checklists with 95% accuracy
  • Process post-event reports within 48 hours.

Community Engagement:

  • Respond to 90% of student inquiries within 24 hours
  • Maintain updated calendar of events with 2-week advance notice
  • Achieve 80% attendance rate for registered events
  • Generate monthly engagement reports tracking space usage and event participation
  • Build and maintain relationships with 10+ student organizations.

Administrative Efficiency:

  • Complete monthly budget reconciliation with 100% accuracy
  • Submit all required reports by established deadlines
  • Maintain updated documentation of all operational procedures
  • Process vendor payments within established timeframes
  • Track and report key metrics monthly.

About the Position:

This position offers an exciting opportunity to support student entrepreneurs and help build a vibrant entrepreneurial community at UVA. The ideal candidate will be organized, enthusiastic about supporting student success, and capable of managing multiple priorities in a dynamic environment. The Program Coordinator must be available to work some evening and weekend hours as required for events and programs. This is an on-site position located at The Foundry in Charlottesville, VA. The anticipated salary range is anticipated to be $45,000.00 - $65,000.00, commensurate with experience and qualifications. This is a full-time, 40 hours per week, exempt level, benefited position operating during regular business hours, with the occasional need to work outside traditional business hours to attend events, conferences, or community gatherings.
