Job Description: PURPOSE: The Program Management Specialist provides administrative support to ensure the efficient operation of the Graduate Resource Center. The specialist acts as a point of contact for internal and external stakeholders and contributes to the overall success of the program under the coordinator's supervision.
Duties & Responsibilities: - Administrative Support:
- Perform general administrative tasks such as answering phones, managing correspondence, and maintaining office supplies.
- Prepare and edit documents, reports, and presentations.
- Handle requests for information and data.
- Scheduling and Coordination:
- Schedule and coordinate meetings, appointments, and events.
- Assist in the planning and execution of program activities and events.
- Maintain calendars and ensure timely communication of schedule changes.
- Communication:
- Serve as a liaison between program staff, participants, and external stakeholders.
- Draft and distribute program-related communications.
- Respond to inquiries and provide information about program services.
- Program Support:
- Assist in the development and implementation of program policies and procedures.
- Coordinate program evaluations and assessments.
- Provide support for program improvement initiatives.
- Maintain operations and correspondence of GRC services for graduate school community
- Professional Development:
- Stay current with best practices in graduate education and student services.
- Attend relevant conferences, workshops, and training sessions.
- Network with other professionals in the field to exchange ideas and resources.
Minimum Qualifications: - Strong personal motivation, self-management, and attention to detail; ability to take responsibility for meeting deadlines and making progress without direct supervision
- Strong organizational and time management skills.
- Capacity and interest in learning new software and work routines; flexibility in responding to new projects and tasks as they arise.
- Strong spoken and written communications skills. Employee must be articulate and tactful, ready to work directly and frequently with faculty, staff and students.
- Ability to handle confidential information with discretion.
- Flexibility to work occasional evenings or weekends as needed.
Preferred Qualifications: - Bachelor's degree required. Minimum of two years related work experience with administrative work in a university setting.
- Experience that has provided the knowledge, skills, and abilities required for full job performance. Education can substitute for experience on a year-for-year basis, with 30 college credits equating to one year of experience.
Conditions of Employment: - Environment: Office setting with occasional off-site meetings and events.
- Physical Demands: Sitting for extended periods, using a computer, and occasional lifting of up to 25 pounds. Traversing the BSU campus for various events, workshops, and overseeing different GRC locations. Setting up and breaking down resource tables, carrying retractable banners, distributing informative materials to students in the BSU community, and more.
