Job Description :

Yeled V'Yalda is seeking a full-time Program Support Specialist to join our Professional Development/Coaching Department. This role is ideal for a highly organized and tech-savvy individual who thrives in a fast-paced environment and is eager to support schools in maximizing their professional development opportunities.

Responsibilities:
  • Manage all logistical aspects of the department, ensuring smooth coordination of Title I-IV professional development services.
  • Serve as a liaison with schools to discuss workshops and coaching series accessible through Title I-IV funding, aligning offerings with their professional development budgets.
  • Oversee the onboarding process for coaches, ensuring proper clearance through PETS and timely scheduling of sessions.
  • Monitor and maintain coaching schedules to ensure compliance with vendor and DOE inspections.
  • Ensure agendas and documentation are entered into the DOE portal by required deadlines.
  • Submit work plans for approval and process purchase orders for coaching sessions.
  • Monitor coaching sessions to ensure coach utilizes all available hours, without going over budget.
  • Manage the coaching cycle, ensuring timely submission of required paperwork, including agendas, coaching logs, and sign-in sheets.
  • Support timely invoicing, payments, and payroll processes.
  • Support the Educational Director and the Coaching Director ensuring that the admin process aligns and supports the goals of the Professional Development Department.
Qualifications:
  • Strong computer and technology skills, including proficiency in Microsoft Suite. Jotform, and Monday.com knowledge preferable.
  • Ability to quickly learn new systems and platforms.
  • Excellent organizational and multitasking abilities to manage multiple moving parts simultaneously.
  • Strong communication skills to effectively coordinate with schools, coaches, and stakeholders.
  • Ability to meet deadlines and thrive in a fast-paced environment.
  • Office experience managing multiple processes, ensuring deadlines are met, maintaining structured workflows, and aligning budgets with program goals.
