The Project Administrator for Zarpac oversees and performs administrative activities as they apply to project execution and provides organizational and logistical support to the quoting and execution teams (Inside Sales Representatives, Project Managers, Controls Engineers, and Applications Engineers). This position reports to the General Manager and is located in our Greenville, SC office (main office for Pro Mach Integrated Solutions / Zarpac U.S.).

* Collaborate with project managers for seamless execution of projects.
* Enter customer orders into organization ERP system and generate invoices and invoicing schedules.
* Generate and submit order confirmations.
* Execute project closeouts in organization ERP system.
* Assist project management team with maintenance of project schedules.
* Assist project management team with preparation and maintenance of testing and validation documents.
* Organize, manage, and maintain control of physical and digital documentation for the organization.
* Attend project meetings, document and publish meeting minutes.
* Utilize pricing tools/guidelines or communicate with vendors to ensure purchase orders are issued for material shipment and on-time delivery.
* Assist with project budget maintenance by tracking expenditures for current and predicted costs. Ensure timely and accurate invoicing to customers.
* Prepare labor production reports.
* Support human resources team with onboarding execution and paperwork submittals for new employees.
* Generate purchase orders for office support systems (internet, lease payments, business license, printer contracts and supplies, etc.).
* Maintain appropriate inventory level for office supplies including generating purchase orders for office support systems (business license, printer contracts, and other office support related contracts).
* Reconcile monthly corporate purchasing card activity.

* Three years administrative related experience and/or training; or equivalent combination of education and experience.
* College degree preferred but not required.
* Experience with ERP and MRP systems.
* Excellent computer skills.
* Mathematical ability required; must be able to figure percentages and maintain balance on all aspects of project financials.
* Excellent written and oral communication; including spelling and grammar. This individual will interact with the project manager, engineering, support contractors, and the customer/end-use facility operators.
* Prior experience with inventory management, creating and researching invoices.
* Must be detail oriented with great attention to detail and strong analytical abilities.
* Strong background with use of Microsoft Word, Excel, and other associated software
* Exposure to MS Project
