POSITION SUMMARY : We are seeking an experienced and dynamic Executive Assistant to support two General Partners in our fast-paced, startup-like environment. You will play a key role in managing calendars, scheduling, organizing events, and facilitating communication with founders and portfolio companies. This is an excellent opportunity for someone interested in startups, AI technology, and the networking opportunities that come with them. The ideal candidate is a self-starter, who's comfortable working independently based out of San Francisco headquarters. RESPONSIBILITIES : - Calendar and Scheduling Management: Organize and maintain calendars for the General Partners, scheduling internal and external meetings while ensuring efficient use of their time.
- Event Planning and Execution: Manage logistics for various events, such as holiday gatherings, AI-related events, and hackathons. This includes both virtual and in-person events in locations such as the San Francisco headquarters and various cities. You'll be responsible for everything from planning to on-site facilitation, including managing attendee lists and coordination. These events range from 20 people to 200 people. You must be available to work some evenings and (rarely) on weekends. That said, hours are flexible to accommodate time spent outside of standard office hours.
- Travel Coordination: Assist with booking travel arrangements, ensuring smooth and timely execution of logistics.
- Cross-functional Collaboration: Work with other team members to ensure the smooth execution of projects, from writing tasks to ad hoc requests.
- Support for High-level Executives: Manage requests and tasks for both General Partners, ensuring they can focus on strategic priorities.
- Communication: Serve as a liaison between internal teams, portfolio companies, and external partners.
QUALIFICATIONS : Experience:
- At least 5 years of experience as an Executive Assistant or in a similar operations/support role.
- Proven event experience, especially in coordinating large-scale events, including hackathons and networking events.
- Background in AI or familiarity with AI-related technologies and trends (a deep technical background is not required, but an understanding of the space is essential).
Skills:
- Strong organizational, project management, and multitasking abilities.
- Comfortable supporting multiple executives with different leadership styles.
- Excellent verbal and written communication skills, with an emphasis on clear, effective communication in both technical and non-technical settings.
- High attention to detail and ability to handle complex tasks and competing priorities.
