Project Coordinator
W2 Contract
Salary Range: $83,200 - $104,000 per year
Location: Menlo Park, CA - Hybrid Role
Job Summary:
This position requires a detail-oriented individual with strong organizational skills and a passion for the Life Sciences industry. The ideal candidate will collaborate closely with project managers, scientists, and cross-functional teams to ensure projects are completed on time, within scope, and on budget.
Duties and Responsibilities:
- Assist in the planning, execution, and monitoring of projects. Maintain project schedules, track milestones, and manage project documentation.
- Serve as a liaison between project teams, stakeholders, and external partners. Facilitate communication and collaboration to ensure alignment and resolve any issues that arise.
- Attend various meetings and take meeting minutes. Follow up on action items.
- Assist with the setup and maintenance of projects using applicable management software.
- Monitor and respond to the need for office administrative tasks.
- Prepare and maintain project-related documentation, including project plans, progress reports, and meeting minutes. Ensure all documentation is accurate and up to date.
- Monitor project budgets and expenses. Assist in resource allocation and ensure the efficient use of project resources.
- Ensure that projects adhere to regulatory requirements, company policies, and industry standards. Assist with the preparation of regulatory submissions and audits.
- Identify potential project risks and develop mitigation strategies. Monitor and report on risk factors to ensure timely resolution.
- Provide regular updates to project managers and stakeholders on project status, progress, and any issues or delays.
- Assist with administrative tasks such as scheduling meetings, organizing project files, and preparing presentations.
Requirements and Qualifications:
- Bachelor's degree in life sciences, biotechnology, business, or a related field
- At least 2-3 years of experience in project coordination or management within the biotech or life sciences sector.
- Experience with Microsoft Office and Smartsheet
- Excellent organizational, communication, and time management skills are required.
- Strong interpersonal and problem-solving skills are preferred.
- Able to effectively prioritize tasks.
