This includes maintaining accurate documentation, coordinating schedules, facilitating communication with diverse stakeholders, assisting in budget breakdowns, and creating subcontracts. The position encompasses multiple functional areas, each playing a crucial role in contributing to the successful and timely completion of projects.What You'll Do
  • Assist with the creation of Spectrum Budget Breakdowns.
  • Create subcontracts and purchase orders.
  • Recount and verify light fixture quantities by performing a take-off.
  • Conduct all project close-out procedures.
  • Organize final preparation of project submittals and verify approved submittals for conformity.
  • Arrange and integrate project documents and addendums.
  • Maintain Change Order, Material Logs, and RFI Logs- consistently distribute updates to relevant stakeholders as necessary.
  • Be current and knowledgeable of projects to assist other departments as needed.
  • Generate and maintain computerized projects schedules.
  • Create and update specialized projects schedules and labor tracking sheets.
  • Assist in the creation of new project files and facilitate the copying of plans.
  • Manage subcontractor/major material purchase orders throughout the project duration.
  • Coordinate delivery schedules of materials and equipment.
  • Verify that all material, equipment, and tools are being ordered and arriving on time.
  • Communication with various stakeholders on the status of materials.
  • Ensure proper inventory management and maintenance of product data.
  • Attend various meetings (job start-up, turn over) and record meeting minutes.
  • Follow up on action items from meeting agendas.
  • Facilitate effective communication between various stakeholders.
  • Perform any other job-related duties or function as assigned by management.
  • Stay current and knowledgeable about projects to assist other departments as needed.
  • Ability to mentor and assist in the development of Project Coordinators.
  • Accountable for leading efforts in implementing continuous improvement initiatives and methodologies to improve processes and increase efficiency.
  • Participate in CECI Continuous Improvement events as needed (ex: JDI, RIE & A3's)
  • Maintain SOP's (Standard Operating Procedures) for compliance practices and other associated functions.
  • Demonstrates and represents company core values in daily actions, interactions, and decision-making processes.
  • Integrates the company core values into work practices, ensuring that they are reflected in the tasks you undertake, projects you manage, and solutions you provide.
  • Proactively seek ways to enhance and strengthen the integration of core values within direct role and the entire enterprise.
What You'll Bring
  • High School Diploma or equivalent
  • 2+ years of experience in construction project coordination
  • Strong attention to detail, ensuring accuracy in project documentation, material tracking, and schedule updates.
  • Excellent verbal and written communication skills to facilitate effective interaction with project stakeholders, suppliers, and team members.
  • Ability to manage multiple tasks and prioritize effectively to ensure smooth project execution.
  • Ability to identify potential issues early on and implement proactive solutions
  • Strong ability to work as part of a team and coordinate efforts across multiple departments.
  • Willingness to adjust to changing project requirements and timelines as needed.
  • Ability to take initiative in leading process improvements and ensuring project goals are met.
  • Capability to mentor Project Coordinators and guide them through project processes.
  • A proactive approach to addressing stakeholder needs and delivering a high level of service.
  • Knowledge of project lifecycle processes, from initiation to close-out, with the ability to manage multiple phases simultaneously.
  • Familiarity with project documents including subcontracts, purchase orders, submittals, RFIs, change orders, and material logs.
  • Proficiency in scheduling software to develop, maintain, and adjust project schedules.
  • Strong understanding of materials, equipment, and tolls commonly used in construction projects.
  • Familiarity with continuous improvement methodologies (e.g., JDI, RIE, A3's) and the ability to lead and contribute to process improvement initiatives.
  • Understanding of Standard Operating Procedures and compliance practices within the industry.
  • Proficient in relevant project management and documentation software (e.g., Microsoft Project, Excel, etc.).
