Job Summary
The position requires the creation, updating, and management of project schedules to ensure on-time and successful project delivery. The role involves coordinating and facilitating meetings, analyzing critical paths, and addressing constraints to keep projects on track. This position also includes regular communication with project teams, status reporting, and mentoring task owners on planning processes and constraint resolution.
Key Responsibilities
- Master Schedule Management: Create and update the master schedule, incorporating important decision points ( decision diamonds ) into the project plan.
- Task Coordination: Coordinate and facilitate meetings with task owners to establish, evaluate, and update tasks, durations, and constraints.
- Critical Path Analysis: Analyze the critical path and constraints to determine the impact of changes to the schedule and recommend workarounds.
- Concerns Elevation: Elevate issues related to ownership of tasks, roadblocks to constraint resolution, or failure to meet scheduled task completion dates.
- Schedule Recovery: Conduct analysis to identify alternative actions or recovery strategies for schedules that have slipped.
- Weekly Work Plan: Send weekly email communications regarding tasks that are overdue or scheduled to start or finish within the next two weeks.
- Predecessor Communication: Regularly communicate driving predecessors that impact target dates to task owners and the project lead.
- Weekly Schedule Updates: Develop and update the weekly short-interval schedule in collaboration with superintendents and field engineers using Pull Planning or Last Planning.
- Status Reporting: Assist the project team in developing and maintaining periodic status reports to keep management informed of project progress.
- Constraint Log Management: Develop and manage a constraint log; obtain commitments from owners to resolve any constraints.
- Resource Utilization Monitoring: Monitor and communicate resource utilization (both human resources and budget) through the project plan.
- Mentorship: Coach and mentor leaders and task owners on planning processes and constraint resolution.
- Information Logging: Log all new information and provide scheduled reports for coordination and reporting purposes.
- Task Refinement: Assist in refining tasks and sub-tasks to ensure successful realization of project requirements according to the schedule.
- Schedule & Cost Updates: Interact with project team members and task managers to update detailed schedules, cost information, and identify variances from the original plan.
- Checklist Development: Assist in developing mechanical and electrical installation checklists and schedules.
Required Qualifications
Education:
AAS in Engineering Technology, BS in Engineering Technology, or BS in Engineering.
Equivalent work experience will be considered in rare circumstances, especially for candidates who have managed projects with integrated schedules (e.g., project managers).
Experience:
Minimum of 3+ years of relevant experience in project planning and scheduling.
Skills:
- Proficient in MS Project (Primavera experience is acceptable).
- Familiarity with various execution methodologies, including waterfall, agile, sprint, lean, or last planning.
- Proficient in MS Outlook.
- Strong attention to detail and organizational skills.

Certifications
Certification Requirements: None specified, but certifications related to project management (e.g., PMP) or scheduling (e.g., SP) would be beneficial.
Equipment/Software Experience Preferred
MS Project:
- 3+ years of experience with MS Project, including MSP Online administration.
- Proficient in constraint management, critical path analysis, driving predecessor analysis, and resource planning.
Software:
Proficient in MS Office Suite (PowerPoint, Excel, Word).
Equipment Familiarization:
Familiar with mechanical and pneumatic systems, electrical control systems, automated equipment systems, and equipment used in machine installation activities.
