The ideal candidate will be highly efficient and very organized, with excellent interpersonal skills and the ability to work well with all internal management and staff levels. The ideal candidate will bring a passion for the mission and core values of the Harlem Children's Zone, an understanding and respect for the culture of all residents of Harlem, and a desire to work in a school setting that fosters a love for children.Minimum Qualifications
- Bachelor's degree required
- 1 year of relevant experience

- Proficiency in Microsoft Office (Word, Excel, Publisher, Outlook)
- Knowledge of ZORA, Microix, UKG, ChildPlus preferred

- Ability to adapt to the needs of the department
What you will do
- Greeting parents and answering questions
- Taking messages for appropriate parties
- Enter monthly classroom and maintenance orders
- Ensure staff meets medical and other training requirements
- Supervise space planning and internal office moves and renovations
- Oversee that maintenance and repairs of office equipment are done in a proper and timely manner
- Interact with the appropriate parties to address building services issues such as HVAC, electrical, plumbing, and security
- Answer the phones and direct all correspondence through the proper channels
- Maintain staff timesheets and communicate with the payroll department
- Update the database and track the different systems for various purposes.
- Create new electronic and paper filing systems and maintain them
- Assist with the day-to-day financial recordkeeping as needed (i.e., petty cash payments, expense reports, and reconciliations)
- Prepare memorandums and other materials describing office procedures and standards
- Maintain proper document filing systems for all clients and office management tasks
- Coordinate the purchase order process and negotiate contracts for all office supplies, furniture, equipment, and administrative/maintenance services
- Monitor contracts for office equipment and support services
- Ensure visitors follow appropriate policies and procedures
- Maintain an inventory of office supplies
- Performing telephone outreach as needed
- Perform other duties as assigned
