PROPERTY ADMINISTRATOR

Houston, TX

Seeking a highly motivated, hard-working, Property Administrator to join our team. The Property Administrator will provide first-class property management service and assist the Property Management team with day-to-day administrative support including accounts payable functions, general administrative support, and tenant/vendor customer relations

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Provide excellent customer service to both external and internal customers.
  • Monitor the work order system to ensure timely completion and closing of tenant work order requests. Work cohesively with engineers and tenants on any problem areas and ensure tenant is satisfied with results.
  • Review for accuracy and transmit vendor invoices to the accounts payable program (Avid). Ensure invoice coding is correct before sending to manager for payment approval.
  • Maintain building access control system. Update building and garage access card requests from tenants daily.
  • Responsible for the scheduling of the building conference rooms through the RISE property portal. Performs pre and post inspections of the conference room for each reservation.
  • Review security DAR reports and janitorial reports daily to determine if any items need to be reported to management or tenants. Issue work orders for any maintenance items that were discovered during security officer rounds or by the night janitorial crew.
  • Coordinate tenant janitorial requests to the night janitorial supervisor and ensure completion.
  • Update work order system (Workspeed) with new and updated vendor COI's.
  • Monitor and maintain current fire warden lists and update accordingly. Prepare correspondence as required.
  • Coordinate vendors for property food truck service and ensure information is accurate for marketing materials.
  • Maintain all office equipment and order office supplies as needed.
  • Help coordinate tenant events.
  • Open, sort and distribute all incoming mail.
  • Perform any additional duties that might be assigned by the Property Management team.

REQUIREMENTS AND WORK EXPERIENCE:

  • Minimum of 3 years' experience in commercial property management.
  • High School diploma or equivalent required.
  • Experience working in property management and accounting systems and the aptitude to quickly learn new systems.
  • Immediate knowledge of Microsoft Office. Experience in MRI accounting software, Workspeed work order system, and Avid BillPay a plus.
  • Strong customer service, verbal and written communication skills and organizational and problem-solving skills.

OTHER SKILLS & ABILITIES

  • Ability to understand and carry out general instructions in standard situations.
  • Ability to solve problems in standard situations .
  • Basic analytical skills and basic knowledge of financial terms and principles required.
  • Ability to calculate simple figures such as percentages.
