SUMMARYThe Property Manager is responsible for overseeing the daily operations of assigned properties, ensuring the properties are well-maintained, tenants' needs are met, and the properties are managed in compliance with legal and financial obligations. This includes maximizing net operating income, protecting property assets, managing budgets, and directing personnel and resources to achieve ownership goals. The Property Manager must maintain a positive relationship with tenants, vendors, and ownership while leading the property management team.DUTIESProvide leadership in all areas of property management, demonstrating a positive, professional, and client-focused attitude in all interactions with coworkers, tenants, clients, and the public, whether through mail, phone, or in person.Develop and implement strategic plans for property management, including budgets for income, expenses, and capital improvements. Ensure budgets align with ownership objectives, cash flow needs, and leasing strategy. Administer budgets, track variances, and take corrective action as needed.Oversee all property operations, including maintenance, safety and security, loss prevention, landscaping, tenant buildouts, snow removal, and marketing efforts. Ensure these functions are performed to company standards and within budget.Review and analyze monthly financial statements, identify operating variances from the budget, and devise strategies for cash management and the collection of receivables. Ensure timely and accurate financial reportingAdminister and enforce leases by overseeing tenant billings, performing landlord obligations, enforcing tenant compliance, preparing vacancy reports, and responding to leasing inquiries. Ensure vacant spaces are leased or re-leased promptly by coordinating with leasing representatives and brokers.Ensure accurate and organized property files and records, following company systems and emphasizing proper documentation for future referenceBid and manage tenant improvement work. Maintain records of property conditions, including roofs, HVAC systems, utilities, and special circumstances. Ensure all spaces are always well-maintained and show ready.Ensure accurate and organized property files and records, following company systems and emphasizing proper documentation for future reference.Manage tenant relations by addressing repair requests, resolving rent or lease issues, and maintaining positive relationships with tenants. Coordinate tenant fit-up work and act as a liaison between tenants and ownership.Ensure timely collection and documentation of revenue, adhering to lease terms and ownership policies for accounts receivable. Collaborate with the accounting team to maintain accurate rent rolls and account receivables.Engage, contract, supervise, and approve invoices for all services required to maintain the properties according to company standards. Maintain a network of emergency service providers and oversee 24-hour emergency coverage as needed.Supervise on-site maintenance personnel and contractors, ensuring service needs and performance are continually evaluated to maintain property standards. Oversee major capital improvement projects, including HVAC systems, roofs, parking lot surfaces, and other high-cost repairs.Represent ownership at tenant meetings, promotional events, and other gatherings as needed. Oversee retail sales analysis and ensure accurate, timely billing for any overage rent due.Collaborate with internal departments (e.g., accounting, leasing, legal, marketing) to ensure a cohesive and efficient approach to property management. Oversee activities such as financial reporting, legal compliance, capital improvements, and leasing not directly managed by the Property Manager.Keep abreast of new technologies, systems, and industry trends relevant to property management, ensuring continuous improvement in operations and services.Perform additional duties as required to meet property and management objectives.REQUIREMENTSA minimum of 3-5 years of experience in property management or a related field, demonstrating a thorough understanding of property management principles, leasing, tenant relations, and building maintenance.A high school diploma or equivalent is required; post-secondary education in real estate, property management, business administration, or a related field is preferred.Knowledge, Skills, AbilitiesProven ability to manage multiple properties and tasks simultaneously, including budget management, tenant issues, property maintenance, and financial reporting.Strong leadership skills, with experience in supervising staff and overseeing contractors and vendors.Proficiency with property management software, Microsoft Office (Excel, Word, Outlook), and other relevant technology tools is required.Excellent verbal and written communication skills, with the ability to interact effectively with tenants, property owners, vendors, and other stakeholders.Strong organizational and problem-solving skills, with the ability to prioritize tasks and work efficiently under pressure.Thorough knowledge of local, state, and federal laws governing rental properties, fair housing regulations, lease agreements, and eviction procedures.Other Potential RequirementsBilingual (Spanish/English) Availability to work evening and weekend hours Possession of first aid and CPR certification.Physical Exam and T.B.
