Title: Purchasing Coordinator Department: Procurement Services Number of Positions: 1 Classification: 3 Campus Position #: 100700 Type of Appointment: Full-Time Pay Rate: $47,760 - $59,110/per year. Position Summary: Responsible for the operation of the purchasing department to include locating suppliers, researching supplies, services and equipment. Verify, process, and maintain vendor files, bids, and all purchase orders for the college and the Foundation. Essential Functions: 70% Responsible for coordinating purchasing functions of the College. Confer with College staff concerning all purchases of supplies, services, and equipment. Ensure that all purchase orders and request for bids/proposals meet and comply with Tennessee Board of Regents policies and procedures and State of Tennessee policies, procedures, and laws. Approve all requisitions for supplies, services, and equipment per set procedures to include verification and selection of vendors and specifications in the College's eProcurement system (PelliBiz). Complete change orders as required. Monitor and resolve aging requisitions and purchase orders. Assist shipping/receiving and accounts payable staff with unidentifiable shipments or invoices. Research and resolve problems concerning orders or delivery of supplies, services, and equipment. 10% Obtain, document, and process purchasing bids and proposals. Correspond with College staff and external vendors concerning purchase specifications and pricing. Complete bid/proposal packages and submit for award. Maintain bid and proposal files. Coordinate process for annual orders to include processing bids, maintain master control list, and assure all orders are in place at the beginning of each fiscal year. 5% Responsible for the maintenance of college vendor files and W-9 information. Develop and process new vendor requests with the TBR Total Supplier Management system. Review outstanding requests weekly and resolve all issues. 5% Generate and verify purchasing reports in the Banner system for submission to the Tennessee Board of Regents and others as needed. 5% Assign equipment identification numbers and forward to the receiving department. Assist property office with questions concerning property to be inventoried and for surplus. 5% Serve as College representative on the TBR Council of Buyers. Participate in College committee and programs, and in related professional groups and organizations. Other duties as assigned. Job Requirements: Associate's degree in business related field and 5 years purchasing or business-related experience or a high school diploma and 7 years purchasing or business-related experience. Part-time work experience is calculated at 50% credit of full-time work experience. Skills/Abilities: Knowledge of the principles and practices of purchasing, accounting, contracts, on-line computer systems, and a working knowledge of spreadsheet and word processing software.
