Title: Public Program Coordinator Department: Exhibitions/Programs Schedule: Monday-Wednesday 9:30 AM - 5:30 PM, Thursday 1PM - 8PM, some Saturday hours may be required. Hours may vary to accommodate evening and weekend programs Reports To: Director of Public Engagement Job grade: 2 The International Center of Photography (ICP) is the world's leading institution dedicated to photography and visual culture. Through our exhibitions, education, public programs, and community outreach, we offer an open forum for dialogue about the power of the image. Since our founding in 1974, we have presented more than 700 exhibitions and offered thousands of classes, providing instruction at every level. Our new integrated center on the Lower East Side reunites our school and museum in one space to become the cultural anchor of Essex Crossing. Position Summary: The coordinator is responsible for coordinating and facilitating administrative tasks for on-site and online adult public programs for the International Center of Photography. The coordinator is a key member of the department, assisting in developing and executing program-based initiatives that reinforce ICP as a thought leader on photography and visual culture, with a key emphasis in the role images play in social justice. This position oversees logistics, marketing, production, as well as handles key administrative duties and online systems for the department as needed. Essential Functions and Duties:Program Production
  • This position is responsible for all internal administrative forms and processes for producing a program online and online at ICP, including the creation and facilitation of logistic and A/V forms, speaker contracts and video releases.
  • Maintain public programs dates on institution calendar and liaison between key departments regarding program dates and attendance
  • Manage ticketing portal for department. Tasks include creating event portals, pulling RSVP, and check in analytic reports, staying up to date on training and features.
  • Maintain Public Program Mailchimp Account and send weekly program reminders and Survey.
  • Coordinate with ICP Equipment Room for camera equipment or special equipment needs for each event.
  • Print on site materials for events including signage, speaker forms, and Run of Shows
  • Format speaker presentations and prep all intro slides and liaison with a/v team.
  • Liaison between museum staff on program lay-out for each event.
  • Ensure staging, set-up, design equipment, lighting and check-in area is assembled and ready.
  • Liaison with bookstore staff if book sales will take place.
  • Assist with check in, running Q&A and other tasks as needed during programs.
  • Ensure program equipment is placed back in programs closet after use and is well maintained.
Program Marketing
  • Create and submit Event Marketing forms
  • List programs on third-party event listing sites
  • Develop/maintain/correspond with list of educators and organizations for outreach
  • Monitor registration and work with marketing for promotion campaigns
  • Maintain public program photo archive
  • Work with marketing team to highlight past content from programs
Administration and Record Keeping:
  • Process and archive invoices for department
  • Maintain programs email inbox answering queries.
Research and Program Development:
  • Stay up to date on current events, cultural and social topics as well as relevant publications and organizations pertaining to photography and visual culture
  • Contribute to topic ideation, program research, and development on themes rooted in visual culture, photography, humanities and ICP's exhibition and education initiatives.
  • Maintain Photographer series database - tracking relevant emerging, innovative image makers in the field.
  • Develop recaps or interviews that highlight the Center for Visual Culture's programmatic initiatives
Requirements Minimum Qualifications:Education Requirement:
  • Bachelor's degree in History of Art, Visual Culture, Visual Studies, or other Humanities programs with an emphasis on visual representation; suitable alternative experience will be considered.
  • Broad familiarity with photography and/or visual culture (contemporary or historical) required
Minimum Experience Requirement:
  • 2-3 years of office & administration experience, preferably in a non-profit, cultural institution, or education, environment
Additional Competency Requirement (Specific Knowledge, Skills and Abilities)
  • Broad familiarity with the New York photography and visual culture scenes preferred
  • Facility with translating creative ideas, processes, and practices into engaging programming
  • Capacity to work cooperatively and collaboratively with a wide range of people and department, including museum staff, artists, and representatives from a wide range of organizations and communities
  • Excellent verbal and written communication skills
  • Ability to manage multiple projects and a Self-starter that is able to initiate tasks and work independently
  • Basic budget management skills
  • Microsoft Word, Keynote, Mailchimp facility and an ability to learn online tools and adopt new systems
  • Additional languages helpful
  • Maintains a positive and respectful attitude
  • Communicates regularly with supervisor about department issues
  • Demonstrates flexible and efficient time management and ability to prioritize workload
  • Consistently reports to work on time prepared to perform duties of position
