Overview: Purchasing and Receiving Clerk
The Purchasing and Receiving Clerk is responsible for managing and coordinating the purchasing and receiving processes, maintaining inventory levels, and ensuring the accurate tracking of the organization's assets. This role involves placing purchase orders, receiving deliveries, verifying the accuracy and condition of items received, maintaining asset records, and managing inventory.
Core Responsibilities Include:
Place purchase orders with approved vendors based on requisitions or inventory needs. Source and evaluate suppliers to ensure quality and cost-effectiveness Maintain relationships with vendors and negotiate prices, terms, and delivery schedules Monitor order status and follow up on delayed shipments or discrepancies. Receive and inspect incoming shipments for accuracy, damage, and compliance with purchase orders. Ensure that all received items are accurately recorded in the inventory management system. Coordinate with departments to distribute received items as needed. Resolve any discrepancies or issues with received items in collaboration with suppliers. Maintain accurate records of inventory levels, orders, shipments, and returns. Conduct regular inventory audits and cycle counts to ensure accuracy. Monitor stock levels and coordinate reordering to avoid shortages or overstocking. Assist in maintaining an organized and efficient warehouse/storage area. Maintain and update the organization's asset register, ensuring accurate tracking of all assets. Perform regular audits of assets to verify location, condition, and assignment. Coordinate the disposal or reassignment of obsolete or surplus assets in accordance with company policies. Work with relevant departments to tag and label new assets upon receipt. Prepare and maintain reports on purchasing, receiving, inventory, and asset activities. Assist with invoice processing and ensure timely payment of vendors. Collaborate with the accounting department to reconcile purchase orders with invoices. Ensure all orders are coded to correct department. Knowledge, Skills and Abilities:
- Strong attention to detail and organizational skills.
- Proficiency in using inventory and asset management software.
- Basic understanding of purchasing, receiving and asset management processes.
- Excellent communication and negotiation skills.
- Ability to work independently and as part of a team
- Physical ability to lift and large items including furniture.
- Work is typically performed in an office and warehouse environment.
- May require occasional lifting, bending, and standing for extended periods.
- Regular interaction with vendors, suppliers, and internal departments.
- Travel between multiple sites within the organization.
- The ideal candidate will have strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment.
Education and Experience:
- High school diploma or equivalent
- 1-2 years of experience in purchasing, receiving, inventory, or asset management.
- Must have reliable transportation to travel between sites as required.
Salary Range: $37,440 - $60,320 per year ($18.00 - $29.00 per hour) - dependent on education and experience
