POSITION TITLE
Purchasing and Travel Coordinator
APPOINTMENT
Appointed by the Chancellor of the College upon recommendation of the Vice-Chancellor Finance and Administration and Director of Accounting.
ORGANIZATION RELATIONSHIP:
This position reports directly to the Director of Accounting.
JOB SUMMARY:
The incumbent is expected to learn and utilize new skills and information to improve job performance and efficiency. The incumbent will coordinate and maintain purchasing, travel and assist with accounts payable.
DUTIES AND RESPONSIBILITIES:
* Maintain purchasing department, prepares, orders, monitors, receives, audits, forecasts purchases, purchase orders and requisitions.
* Adheres to and is knowledgeable on appropriate guidelines relating to state regulatory rules/guidelines PPM 49, Special Meals, Contracts, Purchasing, Bids, RFPs, and State and Federal Grants.
* Compiles and writes special or one-time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence, other offices, etc.
* Communicates with public and private accountants; state, federal, and independent auditors; banks; brokerage firms; program or management personnel; and vendors for the purpose of providing information and technical assistance needed to resolve problems.
* Maintains purchasing records, including requisitions, purchase orders, vendor W-9 and ACH.
* Performs monthly reports and adjustments as needed for requisitions and purchase orders.
* Handles transactions required on the Travel CBA account (Air, Hotel, Rental Car, and Registration), and P-Card (small purchases).
* Participates in the development of new accounting techniques in the design and implementation of accounting subsystems, compilation of manuals for accounting and computer application, and preparing managerial reports.
* The incumbent will assist accounts payable.
* Attend, participate, and assist in the coordination of college functions. Perform other duties as directed by the Director and Vice Chancellor of Finance.
QUALIFICATIONS:
Required: Associates Degree with 2 years of experience in State of Louisiana PPM49 travel and purchasing.
Substitution: 5-7 years of experience in State of Louisiana PPM49 travel and purchasing.
