POSITION TITLE: Purchasing Assistant EFFECTIVE DATE: January 26, 2022, REV. DATE & NO.: REPORTS TO: Purchasing Manager LOCATION: Canonsburg, USA DEPARTMENT: Purchasing STATUS: Non-Exempt POSITION DESCRIPTION SUMMARY In this position, the Purchasing Assistant is responsible for performing routine clerical duties. This position works under the direction of the Purchasing Manager to support procurement services by performing procurement functions, in a timely, cost-effective manner, for a diverse clientele. As well as provide excellent customer service to client groups, assist with vendor relationships and coordinate with Finance & Administration colleagues. Essential Functions
  • Provides administrative and clerical support to the department
  • Compile request for materials
  • Create PO and send it to suppliers. Register acknowledgement dates in PO/excel sheets.
  • Create part numbers for non-engineering requisition items.
  • Create new suppliers as per supplier forms.
  • Receive material for Blanket POs
  • Manage small value purchase of requisition items
  • Support buyers and purchasing function in all activities as needed
  • Communicate with suppliers and internal customers for swift exchange of information
  • Compare prices, specifications, and delivery dates to assist Purchasing Agents.
  • Track orders and ensure timely delivery
  • Respond to supplier inquiries regarding order status, changes, or cancellations
  • Update internal databases with order details (dates, vendors, quantities, discounts)
  • Maintain updated records of invoices and contracts
  • Follow up with suppliers, as needed, to confirm or change orders
  • Liaise with warehouse / shipping and receiving staff to ensure all products arrive in good condition.
  • Performs miscellaneous job-related duties as assigned.
Knowledge, Skills & Competencies
  • Ability to follow verbal and written instructions.
  • Ability to learn purchasing procedures and policies.
  • Knowledge of ERP
  • Proficient with Microsoft Office Suite or related software
Preferred Education / Experience • High school diploma or GED • 2 years' experience directly related to the duties and responsibilities specified preferred Physical Job Demands While performing the duties of this job, the employee is required to sit at a computer for prolonged periods. The employee frequently is required to walk; use hands to finger, handle or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to stand. The employee must frequently lift or move objects up to 10 pounds and occasionally lift or move objects up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision and the ability to adjust focus. May need a high level of concentration in a busy area. Prolonged periods sitting at a desk and working on a computer. Working Conditions Monday through Friday and on-call may be required.
