Purchasing ClerkJOB STATUS: OPEN POSTING DATE: 11/05/2024 CLOSING DATE: 12/19/2024 04:00 PM POSTING NUMBER: 047588 LOCATION: Admin Finance Office - 727 POSITION TITLE: Purchasing Clerk JOB DESCRIPTION: To assist the Director of Purchasing and Assistant Director with campus and department communication, processing requisitions and purchase orders in a timely manner as well as assist buyers with bid processing. DUTIES and RESPONSIBILITIES:
Assist vendors and schools with purchase orders. Use technology to retrieve purchase order and vendor information and email purchase orders for appropriate requests.Responsible for answering phone calls and emails consistently and with a sense of urgency on behalf of the department to ensure issues are being resolved in a timely manner. File and divide attachments when processing purchase orders, sole source and quotes per departmental requirements; disperse mail; batch vendor and update vendor information. Direct phone calls from vendors to campus/departments as necessary.Enter on-line approval for specific vendors deemed necessary by Director or Assistant Director.Assist buyers in preparation of bids and bid openings in addition to special projects as assigned.Keep all certificates of insurance for bid current.Maintain current safety and insurance information for awarded District travel companies. Assist Travel Department with reconciling travel recaps. Work with Accounts Payable as needed.Work closely in training new employees in the Purchasing program.Coordinate with warehouse supervisor to ensure warehouse requisitions are being completed.Update Awarded Vendor list to ensure the most current vendors are being utilized as directed by the Director or Assistant Director.Create and assist with tabulation worksheets with the buyers as needed.Perform other duties as assigned.Maintain confidentiality.Regular attendance. - Experience in a business-related field (purchasing, accounting, etc.)

- Computer/Microsoft Office Word, Microsoft Office Excel, eFinance
- Ability to communicate and work with other auxiliary personnel, teachers, and school administrators
- Excellent customer service skills. Positive and cooperative attitude toward helping District employees and vendors.
- Working knowledge of various purchasing methods
