This is a full-time, 12-month, exempt position that reports to the Director of Fiscal Services and is located at the JWCC campus in Quincy, Illinois. Position begins immediately.John Wood Community College (JWCC) is seeking a detail-oriented and proactive Purchasing Coordinator to join our BusinessServices team. The Purchasing Coordinator will be responsible for overseeing the procurement of goods and services, managing vendor relationships, and ensuring compliance with college purchasing policies. This role requires strong organizational skills, excellent communication, and the ability to handle multiple projects simultaneously.KEY RESPONSIBILITIES Manage the purchasing process for the college, including sourcing suppliers, obtaining quotes, and processing purchase orders.Prepare, analyze, and evaluate bids, quotes, proposals and contractual agreements in compliance with applicable state and federal regulations and Board policies.Manage the college's purchasing card program.Maintain a fixed asset listing, handle monthly vehicle charge backs, and update the college utility file.Serve as the point of contact and lead for the State of Illinois Business Enterprise Program (BEP).Maintain the storeroom and order office supplies for college use and monitor inventory levels to coordinate with suppliers to ensure timely delivery of products and services.Negotiate contracts and pricing agreements with vendors to secure the best value for the college.Maintain accurate records of all purchasing transactions and vendor agreements.Review and approve invoices for payment, ensuring accuracy and compliance with contract terms.Develop and implement procurement policies and procedures that promote efficiency and cost-effectiveness.Supervise the Campus Services Clerk and oversee the college's mail services and receiving processes.Assist with budget preparation and track expenditures related to purchases.Build and maintain strong relationships with suppliers and internal stakeholders. QUALIFICATIONSEducation: Bachelor's Degree in Business, Supply Chain Management, or a related field is required or relevant experience will be considered.Minimum of 3-5 years of experience in purchasing, procurement, supply chain management, or relevant experience.Experience in an educational or public sector setting is a plus. Skills and Competencies: Strong knowledge of procurement processes, contract negotiation, and vendor management.Excellent organizational and multitasking abilities.Strong analytical skills with attention to detail.Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and purchasing software.Effective communication skills, both verbal and written.Ability to work independently and as part of a team.Must be able to lift 50 pounds and be able to sit, stand, bend, walk, climb stairs and ladders, and work in different areas as needed. Work Schedule: Full-time position with a typical schedule of Monday-Thursday (8am - 5pm) and Friday (8am - 12pm).
