  • Job Objective: A brief overview of the position.
    • The Quality Control/Indexing technician position is responsible to ensure that all records scanned into Patient Folder are of the highest quality possible. QCI tech is responsible for indexing all documents to the appropriate patient folder/encounter utilizing the correct document name.

      • Required: Highschool Diploma, GED or Higher Education
    • Licensure/Certification

    • Experience
      • Preferred: 1 year previous clerical experience preferably in a Medical Record dept. or other healthcare setting.
  • Essential Responsibilities
      • Demonstrates compliance with Code of Conduct and Compliance Policies and takes action to resolve compliance questions or concerns and reports suspected violations.
      • Checks each patient record for poor originals and stamps with “poor original” stamp.
      • Groups all color graphs, photographs, EEG strips, and other difficult to scan documents together for special handling.
      • Ensures that patient name, encounter number and medical record number are documented on each page (both sides) 100% of the time.
      • Prepares all documents and assembles all documents in designated date sequence and appropriate order as outlined in chart prep policy.
      • Prepares batch cover sheet for each batch. Creates each batch for inpatient, outpatient, and emergency room according to procedure at least 98% of the time.
      • Retrieves records from scanning shelf and performs scanning process according to procedure and within established time frame at least 98% of the time
      • Maintains appropriate setup for scanner to ensure optimal image results. Cleans scanner weekly. Completes maintenance log according to instructions.
      • Verifiers each batch has been prepped appropriately, removing documents that cannot be scanned and removing staples, paperclips, etc.
      • Assigns a batch label according to procedure, 100% of time.
      • Writes batch to correct work queue, 100 % of time.
      • Performs indexing process with 99% accuracy.
      • Verifies that bar-coded documents are correctly index.
      • Ensures that all scanned documented are positioned correctly. Identifies and corrects those that are not and fixes with 99% accuracy.
      • Identify and mark documents that are poor quality. Rescan these documents.
      • Split and merge documents within an encounter as appropriate with 99% accuracy.
      • Correctly insert pages/documents when and where appropriate with 99% accuracy.
      • Correctly append pages/documents when and where appropriate with 99% accuracy.
      • Writes each indexed batch to the appropriate queue according to workflow procedure.
      • Reviews assigned work queue(s) daily and ensure timely processing of all assignments in the queues.
      • Performs other tasks and projects as assigned by supervisor.
