Promenade at Chestnut Ridge -

The Promenade at Chestnut Ridge is seeking a high functioning full time receptionist/ administrative assistant from 830am - 5pm

The receptionist/ administrative assistant is the initial contact and first impression of the assisted living community. They are responsible for greeting visitors, handling both external and internal calls from residents, taking and passing on important messages and monitoring the entrance area for resident safety and cleanliness.

The receptionist / administrator must:

  • Maintain a professional atmosphere
  • Maintain confidentiality, protect residents rights and dignity
  • Answer phone with a smile and can do attitude
  • Sorting of mail for management and residents
  • Assist with prospective resident correspondence
  • Update community information on resident census and vendor invoices/activities
  • Manages availability of marketing brochures and collateral
  • Conduct adminstrative functions as needed·
  • General administrative duties including office reception, directing visitors, office deliveries, mail and postage, etc.
  • Assist in preparation, editing, distribution and follow-up of proposals
  • Assist with the management of CRM system and lead generation/sales activities including preparation of marketing material
  • Prepare and disseminate sales and marketing materials, as needed
  • Handle sensitive activities, documents and records with a high level of confidentiality
  • Assist with human resource and payroll related matters
  • Keep files organized and updated
  • Special projects as needed, including marketing, finance, HR, facilities, licensing and compliance related tasks

Qualifications:

  • Ability to effectively read, write and communicate in English
  • Able to work flexible hours as needed
  • Able to multi task and be very organized
  • Excellent Customer Service Skills
  • Experience handling telephones
  • Ability to work with management staff
  • Ability to relate to residents and families
