We are continuing to grow and are currently in need of a full time Receptionist/Administrative Coordinator for our Paducah, KY office.POSITION SUMMARYThe Receptionist/Administrative Coordinator will greet, assist, and provide direction and information to clients, visitors, and other guests of the organization. This is a full time position with a work schedule of Monday - Friday from 7:30am - 4:30pm.ESSENTIAL DUTIES AND RESPONSIBILITIES Greets all clients, visitors, and guests as they enter the facility; determines the purpose of each person's visit, then directs or escorts them to the appropriate location.Answers, screens, and directs phone calls to other staff; takes messages when needed.Interacts with customers via telephone, email, and online chat to provide support and information on assigned products or services.Executes general administrative and clerical support duties, such as filing and recordkeeping.May assist CFO with various accounting functions such as accounts payable tasks.Schedules service appointments and ensures all appointments made by call center are properly scheduled.Ensures the sash/parts/screens list is updated for service scheduling.Confirms all sales estimate appointments, prints daily paperwork, and creates folders to house all sales information and literature.Facilitates service issues, ensuring matters are directed to the Operation Manager.Receives mail, documents, packages, and courier deliveries on behalf of staff, then delivers or distributes items as appropriate.Mails thank you letters and other miscellaneous correspondence.Maintains office files; implements an efficient system for other staff to access files and records.Serves as a backup to warehouse personnel as needed.Participates in weekly office meetings.Completes basic office cleaning tasks, sharing this responsibility with others on a rotating basis.Other related duties as necessary or assigned. REQUIRED EDUCATION AND EXPERIENCE High School Diploma or equivalent.1+ years of experience working in prior customer service roles.Previous Accounts Payable experience preferred but not required. REQUIRED SKILLS AND ABILITIES Excellent verbal and written communication skills.Remarkable interpersonal and customer service skills.Proficient in Microsoft Office Suite or related software.Superior organizational skills and attention to detail.Basic understanding of clerical procedures and systems, such as recordkeeping and filing.Ability to work independently.Flexible, dependable, and adaptable. REQUIRED LICENSES & OTHER MISCELLANEOUS NECESSITIES Valid driver's license and reliable transportation to/from the office.Able to pass a pre-employment drug screen and a thorough criminal background check. PHYSICAL REQUIREMENTS Prolonged periods sitting at a desk and working on a computer.Must be able to lift up to 15 pounds occasionally.Must be able to access various departments of a given location.
