Working onsite full-time in our busy and fast-paced Family Law practice in Austin, Texas. Salary plus benefits – which include health, dental and vision insurance; disability insurance; life insurance; paid time off and paid holidays; 401k plan matching by employer of 3%. This is not a remote position. The position is 8:30 a.m.- 5:30 p.m., Monday - Friday.

Austin, Texas, boutique Family Law Firm seeks experienced full-time receptionist to support clients and staff. Our busy practice demands a professional who is friendly, professional, reliable, detail-oriented, discreet, and flexible and who possesses strong verbal and written communication skills.

The Receptionist is an essential team member. This is a full-time position and applicants must:

· Be warm yet professional and discrete

· Be highly professional in appearance and manner with excellent grammar

· Professional demeanor in answering phone calls and client communication

· Be able to maintain calm in a sometimes hectic working environment

· Be dependable, including punctual and rarely absent

· Handle multiple competing priorities while still attending the telephones promptly

· Be familiar with the operation of standard office equipment

· Work between the hours of 8:30 a.m. to 5:30 p.m. Monday through Friday

· Be able to lift 25 pounds

Primary duties include:

· Answering multi-line phone system and directing calls appropriately

· Greeting and seating clients with courtesy and tact, including preparing and serving beverages

· Maintaining appearance of lobby, kitchen and three conference rooms, including managing calendar through Outlook, purchasing and stocking supplies, and tidying before and after meetings

· Order catering and distributing meals for meetings

· Accepting payments and posting them to billing system

· Handling incoming and outgoing mail, courier deliveries and vendor deliveries

· Data entry in billing program and simple Excel documents

  • Scanning and processing incoming mail

Secondary duties include:

· Assisting with scheduling travel and office events including making reservations and collecting cost information

Requirements:

  • Strong organization skills and acute attention to detail
  • Ability to follow process and procedures
  • Strong oral and written communication skills
  • Tech savvy and comfortable in a paperless office
  • Well-organized and attentive to details

· Maintain a reliable vehicle with insurance
