The office is responsible for planning, managing, supervising, reporting, and advising on all activities related to academic records, conferral of degrees, course registration, course and classroom scheduling, student information systems, academic catalogs, and related areas. We strive to balance best practices with forward thinking and new technologies to provide quality and compliant services to students, faculty, staff, and the community. The Receptionist and Documents Processor is a member of the Office of the Registrar team and is expected to be an effective and active participant in improving services throughout the University. The Receptionist and Documents Processor is the initial contact for those entering the office or calling into the office. A key function of this role is to process transcripts and diplomas. This position processes various student and faculty requests related to academic records. This is a non-exempt, full-time, 12 month position that will report to the University Registrar. Essential Functions
- Welcomes and directs office guests, students and visitors
- Answers phone calls, provides requested information, and directs calls to appropriate parties
- Provides information about and offers assistance with Office of the Registrar services
- Facilitates and processes requests for transcripts for Undergraduate and Graduate programs using a third-party vendor
- Facilitates and processes requests for transcripts for CPD programs using a third-party vendor
- Coordinates the printing and distribution of undergraduate and graduate diplomas monthly
- Coordinates the printing of years of service certificates on an as needed basis
- Updates academic dates within the Portal and on the academic calendar
- Manages office correspondence and maintains office records
- Accurately enters and updates student information into the University databases and systems
- Maintains the integrity and accuracy of student data within NNU's student information system (SIS)
- Works within the SIS to make requested academic changes
- Performs other related duties as assigned
Requirements
- Minimum of 2+ years of successful experience in roles related to customer service, education, academic advising, communication, or similar field
- Strong service orientation with effective communication skills, both oral and written
- Detail-oriented with experience in tasks that require accuracy
- Willingness to actively engage in a collaborative environment
- Ability to organize and manage large quantities of information
- Ability to maintain and safeguard the integrity of academic records and requests with confidentiality
- Ability to work with minimal supervision
- Strong computer skills in Microsoft Office with a willingness to learn new technology as needed
- Desire to actively build a culture of ready and earnest hospitality in the Office of the Registrar and throughout the University
