Responsibilities Position Summary Answers the main hospital telephones, pages staff and physicians; performs duties of operator and answering service attendant per departmental policy and procedure guidelines. Greets and signs in visitors, vendors and outside contractors. Logs in items left for patients. Provides direction and information to visitors and guests. Primary Responsibilities and Job Specifications
  • Operates multi-line phone console system to relay incoming, outgoing and interoffice calls.
  • Must have knowledge of all facets of the hospital in order to answer questions of callers and visitors, according to hospital policy, as appropriate.
  • Greets and directs visitors, oversees signing in of guests and visitors, distributes passes to eligible visitors, etc.
  • Maintains a professional demeanor when interacting with guests and staff.
  • Uses proper phone etiquette and procedure, as directed by Supervisor.
  • Observes HIPPA laws when communicating with visitors and callers.
  • Accurately maintains the Operator Census of the hospital. Must have knowledge of admitted, discharged and transferred patients.
  • Notifies admitting office when paperwork is complete for individuals to be assessed.
  • Supervises patient activity in lobby and observes unusual behavior.
  • Reports patients going onto grounds without privilege to their units immediately.
  • Reports unusual behavior to Nursing Supervisor.
  • Makes announcements over the paging system as needed.
  • Receives mail and overnight packages.
  • Must have familiarity of the on call schedule in the reception office and the order of call in emergency situations.
  • Maintains a neat, orderly work area.
  • Informs manager of any equipment malfunctions.
  • Ensures the sign in book is readily available.
  • Places phone system on night/day status at designated hours.
  • Understands principles and can function in pre-crisis situations.
  • Recognizes fire and safety hazards; observes and obeys fire and safety precautions; is cognizant of disaster and fire plans.
  • Performs other related duties as assigned.
  • Assists in the development and maintenance of an organizational/departmental climate in which the needs of the hospital's consumers are met with warmth, respect and responsiveness.
  • Shares in the responsibility of promoting Windsor Laurelwood Center as a center for excellence in healthcare.
  • Qualifications High school diploma or equivalent required. Prior experience as a switchboard operator or receptionist preferred. Basic keyboarding skills essential. Knowledge of personal computers is preferred. Excellent verbal communication skills required. Must be able to remain calm in stressful situations. Experience with basic office equipment required (fax, copier, etc.).
