Responsibilities:

The Receptionist is primarily responsible for providing administrative support to the project team(s).

Responsibilities and Essential Duties include the following (other duties may be assigned):

Coordinating office security needs, access badges, etc. as needed Coordinating with building owner / landlord on office needs, reporting and resolving issues Answering the phones and directing phone calls to the appropriate party Greeting guests and directing / assisting as needed Receiving office mail, courier and express carrier packages and distributing appropriately Coordinating outgoing mail, courier and express carrier pick ups Ordering, maintaining, and organizing office supplies Maintaining and coordinating maintenance of office equipment Maintaining common areas of office including restocking beverage / snack stations as needed Managing conference room scheduling, anticipating needs for meetings, and pro-actively coordinatingwith meeting facilitator to make sure needs are met Ordering meals as needed to include, but not limited to coordinating pick-up/delivery and set-up for meetings and as requested Arranging travel when requested to include, but not limited to booking rental cars and coordinating drop off/pick-up at office, booking flights and hotel rooms Assisting with event planning for office socials, client activities, community events, and holiday parties General administrative support for division manager and other staff as needed

Education - Skills - Knowledge - Qualifications & Experience:

Bachelors degree preferred Minimum of one year of work experience in an office environment Extremely detail oriented and conscientious of work product to ensure quality and minimize errors Ability to recognize and correct errors in own work Strong verbal and written communication skills Working proficiency in Bluebeam and Microsoft Office Suite Aptitude to learn new computer applications and software Excellent customer service skills Positive attitude Proven self-starter Ability to work in a team environment as well as independently Must thrive in a fast-paced work environment Ability to successfully prioritize multiple tasks with competing deadlines Ability to maintain a high level of confidentiality
