Position Summary We are seeking a warm, professional, and highly organized Receptionist to serve as the initial touchpoint for our Citizens and guests. This role involves maintaining accurate records, facilitating communications, and managing guest concerns with the utmost professionalism. Ideal candidates will have strong customer service experience, keen attention to detail, and the ability to thrive in a collaborative environment. Key Responsibilities
  • Greet and assist visitors, directing them appropriately and ensuring a welcoming experience.
  • Answer and route phone calls efficiently, take messages, and provide accurate information to callers.
  • Handle incoming and outgoing mail and packages.
  • Maintain cleanliness and orderliness of the reception area, ensuring adherence to safety and hygiene standards.
  • Organize and manage files, process orders, and respond to customer inquiries.
  • Uphold security by monitoring the visitor log and issuing guest passes.
  • Perform order entry accurately through various platforms (fax, email, portals).
  • Deliver exceptional service via email and chat to resolve issues and promote satisfaction.
  • Review pending orders, manage reports, and handle specific customer requests.
  • Assist with additional projects as needed and adhere to company policies and instructions.
Minimum Requirements
  • High school diploma or equivalent.
  • At least 1 year of relevant work experience.
  • Friendly, engaging personality and polished appearance.
  • Strong organizational skills and ability to work independently.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite.
  • Ability to learn and use internal systems effectively.
Preferred Qualifications
  • Associate degree or related field training.
  • Experience in a call center environment.
  • Familiarity with platforms such as Zendesk and Sage X3.
  • More than 2 years of experience in similar roles.
