North & Central Illinois Division - Peoria Area Command

Peoria, IL

Position Title: Receptionist

Job Summary: Overall oversight and management of internal office operations including telephone, guests, mail and administrative functions associated to the Peoria Area Command.

Reports To: Divisional Secretary for the Peoria Area Command

Qualifications:

Education: High school diploma or significantly related experiences.

Experience: A minimum of three to five years knowledge and work experience related to administrative services.

Candidates must have a passion for fulfilling the mission of The Salvation Army and must be articulate in presenting the same to others.

Candidates must successfully pass the pre-employment background inquiry and annual motor vehicle check with a valid driver's license.

  • Ability to efficiently and effectively manage people and projects successfully and confidentially.
  • Team player, self-starter, and perform well with minimal supervision.
  • Must have an interest and ability to work with people of diverse racial, ethnic, and socio-economic backgrounds in a sensitive and culturally appropriate manner.
  • Ability to establish policies and procedures, holding others accountable to the same.
  • Excellent written and verbal communication skills, including experience or capacity to demonstrate positive interpersonal skills and work as a cooperative team member.
  • Proficiency in computer software applications, including demonstrated experience in using email, Microsoft suite applications, internet and social media platforms.

Responsibilities:

  • Provide reception desk coverage throughout the day for guests and visitors.
  • Professionally greet, answer calls and provide referrals as appropriate.
  • Understand and enforce the security system and procedures with visitors.
  • Alert the Peoria Area Command Campus of communication needs, alerts and storm warnings.
  • Provide accurate location and phone directories for local locations.
  • Assist with devotional cards as needed.
  • Provide opening/closing of all mail along with one other employee, per policy.
  • Prepare and manage mail through local partners including USPS, UPS, Fed EX, etc. Drop mail as needed.
  • Operation and care of all mailroom equipment; envelope printer, letter tabber, folder, laminator, postage meter & shredders, etc.
  • Regularly check all fax & copiers to ensure proper care & updates are being given. Coordinate with Service Reps for routine maintenance & repairs when needed.
  • Prepare bulk mailings as needed for special project management.
  • Maintain the office in a neat and orderly manner.
  • Manage and order office supply inventory for staff and local locations.
  • Manage and order inventory of all Official Letterhead, Envelopes, & Business Cards.
  • Train staff to function as support in times of absence or additional work loads.
  • Successfully satisfy the training requirements associated to the position and as required by The Salvation Army.
  • Other duties as assigned as related.

Position Ranking:

  • Regular Full Time, Hourly. Non-Exempt status, Pay Rate $18.00 an Hour

Physical Demands/ Work Environment:

This Position is required to do moderate physical work. To successfully perform the essential functions of this position, the individual is regularly required to lift and bend, move, occasionally required to position self to stoop, kneel or crouch, frequently required to reach with and use arms and hands as required in using tools, landscaping equipment, climb ladders and work in varying and sometimes extreme temperature environments. Specific vision abilities by this job include close vision, distance vision and ability to focus. The work environment for this position includes an office, warehouse, and outdoor environment. Individual must be able to continuously lift to twenty-five pounds, frequently up to thirty-five pounds and occasionally up to fifty pounds.
