JOB TITLE: Front Desk Receptionist Department: Operations Reports to: Practice Manager FLSA Status: Non-exempt Date Prepared: 1/1/2024 Location: Hedden & Gunn Plastic Surgery - Birmingham, Alabama SUMMARY The Front Desk Receptionist is responsible for providing exceptional customer service and administrative support to ensure efficient operations at the practice. The ideal candidate will demonstrate professionalism, strong organizational skills, and a commitment to maintaining a welcoming and efficient environment for patients and visitors. ESSENTIAL DUTIES AND RESPONSIBILITIES (Other duties may be assigned)

  • Patient Check-In & Registration: Greet patients, verify insurance, update records, and assist with registration forms.
  • Appointment Scheduling: Schedule, confirm, and send reminders for appointments while coordinating with staff.
  • Phone Management: Answer calls, provide information on services, and direct inquiries appropriately.
  • Insurance & Payments: Verify coverage, explain financial details, and securely process payments.
  • Medical Records Management: Maintain accurate records, ensure compliance with HIPAA, and scan necessary documents.
  • Office Maintenance: Keep the reception area organized and restock supplies.
  • Communication: Relay messages and resolve patient concerns professionally and empathetically.
  • Policy Adherence: Follow facility policies and maintain confidentiality.
  • Surgical Knowledge: Maintain an understanding of the surgical procedures and treatments offered at the practice.
QUALIFICATIONS EDUCATION AND EXPERIENCE
  • High school diploma required; additional training in healthcare administration preferred.
  • Prior experience in a medical office or customer service role, preferably in a plastic surgery practice.
SKILLS/ABILITIES
  • Strong organizational, interpersonal, and communication skills
  • proficiency in EMR systems, scheduling software, and Microsoft Office
  • Knowledge of medical terminology, insurance billing procedures, and HIPAA regulations preferred.
  • Professional demeanor and the ability to maintain confidentiality and discretion when handling sensitive information.
  • Positive attitude, professionalism, and flexibility to adapt to changing priorities.
PHYSICAL DEMANDS While performing the duties of this job, the employee is regularly required to sit, stand, walk, reach with hands and arms, and to talk and hear. Employees may be occasionally required to climb or balance, stoop, kneel, or crouch. Employees must occasionally lift and/or move up to 50 pounds along with pushing and pulling on higher BMI patients. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. WORK ENVIRONMENT While performing the duties of this job, employees may be exposed to risk of infectious diseases when interacting with patients and/or family members. The employee may be occasionally exposed to wet and/or humid conditions, moving mechanical parts, fumes, or airborne particles, toxic or caustic chemicals and vibration. The noise level in the work environment is usually moderate.
