Position Summary Professionally represents PROENERGY in answering the Company's phone lines, greeting visitors to the campus or assisting employees when needed. In addition to this, other administrative duties will be performed to ensure smooth operations of the campus facilities.
Position Responsibilities - Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
- Greet visitors and callers, handle their inquiries, and direct them to the appropriate personnel according to their needs; monitor visitor badges, sign-in sheet, and badge distribution.
- Learn to operate new office technologies as they are developed and implemented.
- Operate electronic mail systems and coordinate the flow of information both internally and with other organizations.
- Order and dispense supplies.
- Keep lunch room stocked with coffee supplies and make coffee each morning.
- Provide administrative support to all departments as needed, including tasks such as: ordering supplies, making copies, completing FedEx shipping labels, scanning or printing documents, and any other office related tasks.
- Monitor PROENERGY's calendar of events to support as needed.
- Keep front area presentable and safe. Report any complaints/concerns.
- Assist with Campus emergencies by notifying proper personnel.
- May need to assist in other buildings as needed.
Required Qualifications - High School diploma or equivalent and 6 or more months of office support experience.
- Maintain a neat and well-groomed professional appearance.
- Ability to communicate professionally, clearly and concisely over the phone and in written communications.
- Ability to establish and maintain effective relationship with the public and co-workers to communicate effectively
- Ability to respectfully respond to requests and inquiries from the general public in person and over the telephone.
- Must have legal authority to permanently work in the U.S.
- Successful candidate will need to satisfactorily complete pre-employment drug screen and background check.
Desired Qualifications - Associate's Degree in business, communications or other similar discipline is desired.
- Technical competence in the use of computers, including Microsoft Office Suite (Outlook, Word, Excel)
- Ability to analyze and resolve problems in a logical and effective manner.
- Intermediate skill in the use of various MS Office programs, including Word, Excel, PowerPoint, and Outlook.
- Proficient in the use of a variety of general office equipment and skilled at typing at a speed necessary for successful job performance.
