Job Title: Receptionist Department: Client Services Location: Columbus, Indiana Status: Part-time / 24 hours per week Position Objective: We are seeking a dedicated and friendly Receptionist to join our team. The Receptionist will be the first point of contact for individuals visiting the center, providing exceptional customer service and administrative support. Responsibilities include greeting clients, scheduling appointments, and handling inquiries via phone, email, and in person. The ideal candidate should have excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment. Responsibilities:

  • Greet clients and visitors in a professional and courteous manner.
  • Answer phone calls, schedule appointments, and manage the appointment calendar efficiently.
  • Check-in clients upon arrival and update records as necessary.
  • Provide clients with necessary forms and paperwork, ensuring completion and accuracy.
  • Maintain cleanliness and organization of the reception area.
  • Assist with administrative tasks such as filing, and scanning documents.
  • Respond to patient inquiries in person, over the phone, and via email promptly and professionally.
  • Coordinate with staff to ensure smooth client flow and resolve any scheduling conflicts.
  • Follow HIPAA guidelines to maintain client confidentiality and privacy.
  • Assist with other duties as assigned by Center Director.
Requirements Qualifications:
  • Associate Degree in Business Administration or Human Services
  • Previous experience as a receptionist or in a customer service role preferred.
  • Friendly and professional demeanor
  • Proficiency in computer skills, including Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize tasks effectively.
  • Strong attention to detail and accuracy.

Essential Physical Requirements and Work Environment
  • Ability to maintain physical condition appropriate to the performance of assigned duties and responsibilities which may include: sitting, standing, or walking for extended periods of time; operating office equipment; and lifting up to 20 pounds.
  • Visual Acuity; ability to see and hear within normal parameters, must use hands and fingers to use keyboard and mouse; operate equipment or controls; reach above shoulder heights, below the waist; or lift to file documents or store materials throughout the work day. Proper lifting techniques required.
