JOB DESCRIPTION

Receptionist
Executive Director or Business Office Director

Broad Function:
Provide clerical/administrative support according to established procedures and as directed by
the Executive Director and/or the Business Office Director.
Performance Responsibilities:
- Operate the telephone system.
- Maintain a pleasant, courteous, helpful disposition and professional appearance always when interacting with residents, family members, visitors, callers, and staff.
- Monitor's emergency call system: dispatch nurse to resident involved; at RN's request, phone 911; send houseman to bring service elevator to receiving door and await arrival of
- Maintain administrative/office duties as directed (may include, by not limited to):
- Filing, computer typing, copying, data entry, etc.
- Sort and distribute mail daily.
- Collating brochures.
- Oversee office equipment maintenance (i.e., postage machine, fax machine, copy machine, etc.).
- Maintain daily backup of reps and other office programs as directed.
- Keep Executive Director and Marketing Director informed of office activities, schedule of appointments, office problems, and needs.
- Receive inquiries and release information in accordance with established policies and procedures.
- Maintain confidentiality of all pertinent resident information to assure that resident's rights are protected.
- Give directions/information to visitors, guests, residents, sales representatives, etc.
- Assure that reception and lobby areas are neat and clean (i.e., vacuum and dusting)
- Assist with preparation for special events.
- Other duties as assigned.
Qualifications:
- High school graduate or equivalent.
- Two 2) years office experience.
- Must be knowledgeable in computer skills, word processing, etc.
- Ability to type a minimum of 40 words per minute.
Receptionist Job Description

- Ability to make independent decisions and keep information confidential.
- Must be able to read, write and speak the English language.
- Excellent phone etiquette and communication skills.
- Ability to work with diverse staff, residents, and resident's family members.
- Excellent interpersonal and listening skills.
Physical Requirements:
- Must be able to sit, twist, grasp and perform repetitive duties.
- Must be able to move intermittently throughout the workday.
- Must possess sight/hearing/speech senses or use prosthetics that will enable these senses to function adequately so that the requirements of this position can be fully met.
