To Apply for this Job Click Here Our client, a global asset management firm headquartered in NYC, is looking for a long-term temp Receptionist - Team Scheduler to join their team! This role starts ASAP (as soon as we can find the right person) with an open-ended temp contract. This role is fully onsite Mon-Fri. The in-office hours are 9:30am-6:30pm. However, this role demands being available early mornings, nights and weekends. Lots of paid OT! Hourly pay rate is $36.00/hr.Responsibilities:
  • The Reception Team handles daily visitor registration responsibilities through a guest registration system. They are responsible for greeting and welcoming guests as they arrive to the office, checking them in through the guest registration system and directing guests to the appropriate person, floor, or office. (Lobby Reception: Maintain office security by following safety and access control procedures via the reception desk, monitor logbook, issue guest badges).
  • Constructing and administering daily and weekly schedules. This will include managing call outs & communicating to team members when changes arise as well as updating the ever-changing schedule
  • The Scheduling Team is methodical and strategic in its approach. The schedule is highly nuanced in nature and demands a solution-oriented thought process.
  • The Scheduling Team is aligned with leaders within Human Resources and requires discretion.
  • As experts in all processes, systems and practices for the Reception Team, receptionists provide exceptional customer service to all employees and guests by being able to assist with any receptionist-related requests and needs.
  • As floor ambassadors, receptionists should become familiar with the location of all common areas and facilities-related services on their floor, become familiar with the employees on the floor, and act as a welcoming, helpful resource for the floor. They should also become familiar with all floors as they can be on numerous floors on certain days.
  • Receptionists answer incoming calls in a professional and timely manner. They screen and forward calls as well as providing basic and accurate information in-person and via phone. Learn appropriate procedures for handling information requests.
    • Receptionists serve as floor administrators for the conference room booking system to assist with meeting logistics and help troubleshoot any system trouble.Requirements:
      • 3+ years of full-time experience in a customer-facing role in a professional corporate environment
      • 2+ years of managing a 10+ multi-person schedule
      • Exceptional customer service orientation, skills and approach and able to anticipate service requests
      • Excellent interpersonal skills and able to connect easily with others and handle difficult interactions quickly and effectively.
      • Intermediate proficiency in Microsoft Suite
      • Highest level of professionalism, discretion, and integrity
      • Have sound judgment to resolve problems and make decisions.
      • Excellent writing and verbal communication skills.
      • Motivated, responsible, committed self-starter with a strong work ethic.
      • Have a collaborative, positive, team-oriented attitude.
      • Excellent organizational and multi-tasking skills with the ability to prioritize tasks.
      • Ability to be resourceful and proactive when issues arise.
