Example of Duties ESSENTIAL FUNCTIONS: -- Essential functions, as defined under the Americans with Disabilities Act, may include any of the following representative duties, knowledge, and skills. This is not a comprehensive listing of all functions and duties performed by incumbents of this class; employees may be assigned duties which are not listed below; reasonableaccommodations will be made as required. Employees are required to be in attendance and prepared to begin work at their assigned work location on the specified days and hours. The job description does not constitute an employment agreement and is subject to change at any time by the employer. Essential duties and responsibilities may include, but are not limited to, the following:
  • Computation and verification confinement time served for inmates as required in chapter 42.01 of the Texas Code of Criminal Procedure. Computation and verification of confinement time in liaison with bench warranted inmates from the Texas Department of Criminal Justice Institutional Division or the Federal Bureau of Prisons
  • Coordinate Zoom meetings for Parole, Indigent Defense, and other counties.
  • Act as intermediary information officer concerning inmate release/confinement dates, , inmate transfer/receiving with Jail Command Staff and transport assets.
  • Coordinate daily virtual court hearings for each court.
  • Process and return to collections paperwork that is normally done at the courthouse, but has to be done in the jail due to the virtual hearings.
  • Prepare, manage, correlate and submit reports concerning persons adjudicated to serve weekend/once annual prison terms to the local Courts of Record
  • Prepare, manage, correlate and submit jail reports pursuant to Section 269.11 of the Texas Administrative Code monthly via The Texas Jail Commission
  • Prepare, manage, correlate and submit inmate veteran status reports pursuant to Section 265.13 of the Texas Administrative Code monthly via the Texas Jail Commission: Liaison via reports with Texas Veterans Administration and local Veterans Court Officers updated weekly
  • Prepare, manage, correlate and submit reports for prisoners for whom an immigration detainer has been issued by the United States Immigration and Customs Enforcement Title 8 Code of Federal Regulations/Policy #10074.2 via the Texas Jail Commission
  • Prepare, manage, correlate and submit reports for prisoners receiving Social Security Benefits pursuant to GN 02607.550 pf the Social Security Programs Operations Manual System monthly via the Texas Jail Commission
  • Process interstate Extraditions by ensuring and inmate has been before a Brazoria County District Court judge for adjudication; Liaison with interstate agencies for prisoner transfer in a timely manner pursuant to Chapter 51 of the Texas Code of Criminal Procedure
  • Respond to inmate queries for information including but not limited to: criminal charges, cause numbers, future court dates, release dates, indictments, bond/fine information
  • Assist daily in dissemination of bond or release information to jail staff
  • Return all served/executed legal documents to their court of origin
  • Quality Control of inmate jail files for accuracy in content by verifying all necessary legal documents are present and on hand within the working file
  • Copy inmate file when requested
  • Data input specialist via Odyssey criminal justice data base
  • Open Fox data entry specialist/user, Open Fox data base liaison for jail staff
  • Receiving information to construct and compile Pen Packets from courts of record as required by the Texas Code of Criminal Procedure 42.09 Section 8. These detailed Pen Packets contain thorough information concerning the adjudicated inmate: a copy of the judgement entered, a copy of the judgment entered by documentation on a standardized form, copy of any order revoking community service, any amounts owed for restitution, fines or court costs documented on standardized form, copy of client supervision plan, victim impact statement, criminal history, copy of indictment for each offense, post sentence reports, detainers, defendant's Uniform Health Status, holds for other agencies, psychiatric evaluations
  • The processing and mailing of Pen Packets to TDCJ which includes a Conduct Report as required by Texas Code of Criminal Procedure Art. 468.009 Sec. 4
  • Quality Control of active/ incarcerated inmate files; checking release status, dissemination of detainers and inter agency liaison for inmate transfer via Ommnix/Odessey Criminal Justice Data Bases
  • Review of all released inmate files/jailing's daily to ensure paperwork, teletypes and detainers are in order
  • Schedule the transfer inmate to: State jail, TDCJ, Intermediate Sanctions Facility/Substance Abuse Felony Punishment Facility travel liaison via TDCJ or court of record directives
  • Liaison officer with BCSO Warrant Division for trip/travel deputies tasked with inmate inter/intra state transport
  • Daily assistance with Brazoria County Jail Clerk employees i.e. cross -training in all aspects of inmate file systems and inmate files tasks
  • Keep record of all TDCJ/state jail inmates bench warranted for court and coordinate their return once court complete
  • Communicate with the general public, attorneys, bonding agencies, district and county courts, probation and other outside agencies over the phone in regards to inmate records and general questions
  • Coordinate with probation for the transport of inmates to court ordered outpatient facilities state wide
  • Prepares, emails, faxes documents at the directive of the jail Captain, Lieutenant and jail Sergeants
  • Receive mandates from 14th Court of Appeals, if in custody make sure TDCJ has received mandate and coordinate return or release
  • Receive white warrants via email from parole. Change custody status to paper ready, add inmate to paper ready inmate roster. Fax white warrant to parole and file in active jail file
  • Contact parole with any parole related issues. This includes faxing requested information from parole regarding inmate's release dates, court dispositions, release plans and jail verification
  • Scan all jail and medical files into Odyssey.
  • Fill subpoenas and requests for jail and medical records.
File away any archive inmate records the Sheriff's Office keeps. Qualifications MINIMUM QUALIFICATIONS:Education, Experience and Training Guidelines:High school diploma or equivalent; and one year of law enforcement administrative experience; OR an equivalent combination of education, training, and experience as determined by Human Resources. Knowledge of:
  • County and state legal principles, practices, procedures regarding the court system.

  • Civil process laws and procedures.
  • Criminal process laws and procedures.
