RECORDS SPECIALIST (PROJECT-BASED)DEPARTMENT:Records & Information ManagementREPORTS TO:Records Specialist SupervisorFLSA STATUS: Non-Exempt DIRECT REPORTS:N/APOSITION PURPOSE: The Records Specialist is responsible for the efficient and accurate management of both digital and physical records. This role involves classifying and organizing documents, operating scanning equipment to digitize records, and managing these records within the electronic content management system. The specialist will also perform quality assurance checks, assist with the retrieval, management and disposition of records in accordance with the Retention Policy, and report progress and updates. The role is project-based with a duration of three (3) years or earlier completion.ESSENTIAL JOB FUNCTIONS • Determine and classify documents according to purpose and department. • Operate scanning equipment to capture and transform records from paper to digital copies. • Prepare, scan and index records and document for inclusion in Electronic Content Management system. • Review, verify and perform quality check of digital and electronic records, ensuring the quality follows the standard guidelines and are legible and usable for their designated purpose. • Assist in retrieval and management of physical records from offsite storage. • Prepare daily progress report and update production logs. EDUCATION & EXPERIENCE • High School Diploma or GED is required. • Experience in operating a scanning machine or similar equipment. • Proficiency in Microsoft Office Suite and electronic or document management software. REQUIRED • Attention to detail and commitment to maintain high standards of accuracy. • Strong problem-solving skills. • Self-motivated and adaptable. • Excellent organizational skills and ability to manage multiple tasks simultaneously. PHYSICAL DEMAND • While performing the duties of this job, the employee is regularly required to sit, talk or hear, in person and by telephone, use hands and fingers, handle, feel or operate computers, scanners and other standard office equipment, and reach with hands and arms. The employee frequently is required to walk or stand • Must be able to lift and/or move up to 40 pounds. • This is a non-remote position and requires on-site attendance five (5) days a week. Salary and Benefits: Salary Range: $46,000 - $50,000 The rate of pay offered will be dependent upon candidates' relevant skills, education, and experience.
