The Florida Department of Health is responsible for the health and safety of all citizens and visitors to the state. As a public health agency, the Florida Department of Health must monitor the health status of Floridians, diagnose and investigate health problems, and mobilize local communities to address health-related issues. The Florida Department of Health develops policies and plans that support health goals, enforce laws and regulations that protect the health of all residents and visitors, and link people to needed health care services. Records Technician This is an administrative position within the Vital Statistics Office that works under the supervision of the Deputy Registrar (Records Specialist) of the Florida Department of Health-Hillsborough County (FDOH-HC). The incumbent in this position issues birth and death certificates, processes orders, and receives & reconciles payments. Responsibilities include:
- Assists the general public with correctly completing vital records applications in accordance with laws, rules and regulations. Enters all information pertaining to the registrant and the applicant in the e-vitals system before issuing certified copies of certificates.
- Collects and posts cash, credit/debit cards, checks, and money orders received to the e-vitals system and issues a receipt to customers. At the end of each day, counts monies received, closes credit card terminal, and reconciles payments received.
- Tracks all Safety Paper used daily and verifies that no sheets are missing.
- Reports all discrepancies in payments and/or Safety Paper to supervisor immediately.
- Audits assigned Tax Collector sites twice daily and at the end of each month.
- Processes requests for birth/death certificates made via VitalChek (online orders), Mail & Fax.
- Answers telephone inquiries in a prompt and professional manner regarding birth/death certificates. Provides information on obtaining records from other states, laws regarding adoptions, amending records, paternity issues, etc.
- Performs other related work upon request. This includes traveling to any Florida Department of Health in Hillsborough County Vital Statistics office to assist with staffing, as needed.
Minimum Qualifications: - 5 years of customer service experience.
- 3 years of data entry in records management.
- 2 years of cashiering and money handling experience.
- A valid Florida driver's license.
Preferred Qualifications: - Knowledge of Birth or Death records.
- 3 years of working with or providing services to the general public.
- 3 years of dealing with sensitive records
Required Knowledge, Skills and Abilities: - Ability to operate commonly used office equipment such as computers, printers, and paper shredder.
- Ability to use Microsoft Office products (Outlook, Word, Excel, Access).
- Ability to perform computer data entry.
- Ability to handle money, make change, process credit/debit cards, and balance daily transactions against reports.
- Skilled in providing customer service, both face-to-face and over the phone.
- Knowledge of general office procedures and practices.
- Knowledge of correct grammar usage.
- Ability to prepare reports and correspondence.
- Ability to follow instructions and ensure confidentiality.
- Ability to follow laws pertaining to the processing of birth and death certificates.
- Ability to file and alphabetize correctly.
