Under administrative direction of the Recreation Coordinator, the Recreation Center Assistant is responsible for performing duties supporting the daily functions of the Recreation Center with various administrative and accounting functions. Duties are varied and are carried out with a degree of confidentiality and discretion, requiring independent judgement including but not necessarily limited to, typing, filing, greeting the public, answering phones, providing general information, production of various reports, data entry, marketing, managing schedules, and coordinating staff calendars, trainings, and meetings, memos, and notices. Employees in this class exercise considerable discretion in matters of a sensitive and confidential nature and can resolve issues. Position performs work under charge with a degree of latitude in independent judgment, with work reviewed by the Recreation Coordinator. Essential duties and responsibilities may include, but are not limited to, the following:Essential Duties and Responsibilities:
  • Performs administrative support functions and more complex tasks including organizing and conducting assignments according to deadlines, performing all clerical functions and receptionist duties including greeting the public, answering telephones and responding to inquiries, providing general information in a professional manner, performing data entry, filing, general word processing, tracking of information and other similar administrative duties.
  • Prepares, composes, and distributes, as applicable, a variety of written materials to include memoranda, correspondence, summaries, annual reports, facsimiles, using their own initiative regarding administrative matters and general office policies for supervisor's approval.
  • Prepares and posts staff meetings and trainings.
  • Prepares schedules for staff and programs.
  • Develops marketing strategies, updates website and outside promotion.
  • Assists in the development of volunteers and volunteer coordination.
  • Responsible for maintaining software updates and training for part-time staff.
  • Files and retrieves various records, files, forms, contracts and/or related department documentation as directed.
  • Assists with accounts payable process to include receiving invoices and statements, collection of statement detail; contacting vendors to obtain information, and processing purchase orders.
  • Assists in the development and implementation of the department's budget.
  • Receives, processes and/or distributes mail; prepares forms, letters, and parcels for mailing.
  • Delivers and picks up documents and obtains signatures.
  • Orders materials and supplies and maintains office inventory by checking stock to determine inventory levels; anticipates supply needs; verifies receipt of materials and supplies.
  • Operates a variety of modern office equipment in processing information to prescribed formats.
  • Contributes to team effort by accomplishing related duties as needed or assigned by the Recreation Coordinator.
Emergency Management:Participates with Emergency Management when the need arises with the duties assigned. Work Schedule:Position is Full Time 40 hours worked per week.Regular and consistent attendance for the assigned work hours is essential.Special Requirements:May be required to work weekends, or after hours for special events, meetings or during emergency situations as required.EDUCATION, TRAINING AND EXPERIENCE
  • High school diploma or GED; supplemented by a minimum of two (2) years of progressively responsible administrative support experience that demonstrates the ability to function with considerable independence; prefer college level course work in advanced office support functions; or an equivalent combination of education, training, and experience.
  • Any work-related experience resulting in acceptable proficiency levels in the above Minimum Qualifications is an acceptable substitute for the above specified education and experience requirements.
KNOWLEDGE, SKILLS & ABILITIES
  • Thorough knowledge of file and record maintenance principles and practices.
  • Thorough knowledge of modern office practices and procedures.
  • Considerable knowledge of principles of effective administration, to include coordinating, planning, and scheduling.
  • Thorough knowledge of a variety of modern computer software including proficiency in Microsoft software applications such as Outlook, Word, Excel and Power Point.
  • Working knowledge of principles of budget development and implementation.
  • Skill in both written and oral communications for effective expression of concepts.
  • Ability to exercise sound judgment and make independent decisions in accordance with established policies and procedures.
  • Ability to establish and maintain effective working relationships with supervisor, support staff and other departments/agencies position interacts with.
  • Ability to analyze, organize and review work for efficient results and accuracy.
  • Ability to exercise discretion in matters of a sensitive and confidential nature.
  • Ability to exercise professionalism, courtesy, and tact in frequent contact with the public.
  • Ability to utilize a variety of modern office equipment, i.e., computers, copiers, facsimile machines, calculators, scanners, etc.
  • Ability to add, subtract multiply, divide, calculate decimals and percentages.
LICENSES & CERTIFICATESMust have and maintain a valid Texas Driver License throughout employment with an acceptable driving record.PHYSICAL DEMANDS and WORKING ENVIRONMENTMost tasks are essentially sedentary, with occasional walking, bending, light lifting (5-20 pounds), driving vehicle, or other restricted physical activities. Some tasks involve some physical effort, i.e., standing and walking, or frequent moderate lifting (20-50 pounds), minimal dexterity in the use of fingers, limbs, or body in the operation of office equipment. Tasks may involve extended periods of time at a keyboard or workstation.Sensory Requirements:
  • Some tasks may require sound perception and discrimination.
  • Some tasks may require visual perception and discrimination.
  • Some tasks may require oral communications ability.
Environmental Requirements:
  • Some tasks may require exposure to extreme heat/cold or extreme weather conditions such as rain, sleet, extreme heat and/or cold.
  • Some tasks may require exposure to adverse environmental conditions such as dirt, dust, or pollen.
