The Recruiting Coordinator is responsible for ensuring a smooth and positive employee experience as new hires transition into the organization. This role will work closely with various departments to facilitate the onboarding of new hires, ensuring they complete all necessary pre-employment tasks and receive the resources, information and support needed to become productive and engaged team members.

Key Responsibilities:

  • New Hire Onboarding: Manage the entire pre-employment process for all new hires including letter generation, drug screening, finalized start dates and orientation schedules. Ensure new hires are compliant on their first day.
  • Populate and send appropriate offer letter template to candidate ensuring necessary information and compliance with legal requirements.
  • Schedule and send new hire pre-employment drug screening information.
  • Track new hire orientation schedule changes and ensure all applications, background checks, and drug screens are valid and up to date.
  • Ensure new hire profile set up is accurate in HRM system.
  • Ensure new hire checklists and all paperwork is completed before the new hire's first paycheck.
  • Keep in contact with new hires and answer questions as necessary. Manage the Onboarding Open Phone line and respond to all inquiries within a timely manner.
  • Communicate effectively with internal stakeholders regarding upcoming new hires, schedule changes, pending results, necessary equipment, etc.
  • Create and maintain employee files ensuring all offer letters are signed and applications are completed.
  • Assist Human Resources Manager with HR compliance poster administration.
  • Develop and conduct new hire engagement and exit interviews.
  • Conduct targeted stay interviews for various groups on a monthly basis.
  • Other duties as assigned.

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration or related field a plus.
  • Strong organizational and multitasking skills with the ability to prioritize and meet deadlines in a fast-paced environment.
  • Ability to take initiative and ownership of projects, without requiring oversight of daily tasks.
  • Familiarity with employment laws and regulations related to recruitment and hiring.
  • Excellent communication and interpersonal skills with the ability to interact effectively with individuals at all levels.
  • Proficient use of Microsoft Office Suite and applicant tracking systems (ATS) and other recruitment software.
  • Solid problem-solving and decision-making abilities with a focus on continuous improvement and process efficiency.
  • Ability to maintain high standards of quality and accuracy.
  • Must be able to read, write, and speak English.
