Join us in making a positive impact in the lives of those we serve.Position Summary:The Referral Intake/Outreach Specialist is responsible for managing the intake of client referrals, tracking marketing efforts, and analyzing data to optimize referral and marketing processes. This role combines client intake coordination with marketing analytics, supporting business development and client acquisition strategies.Key Responsibilities:
  • Referral Intake Management:
  • Oversee the main intake email and fax channels, receiving and processing new referrals, authorizations, and other relevant documents.
  • Distribute new referrals and authorizations to appropriate team members and departments.
  • Enter new clients and authorization information, as well as re-determinations, into the system with accuracy and timeliness.
  • Meet with Community Care Units (CCU's) and attend provider meetings to facilitate seamless communication and collaboration.
  • Send signed client agreements to CCU's after receiving them from supervisors, and request new authorizations as needed.
  • Assist in contacting CCU's or case managers on behalf of supervisors if additional support is required, ensuring correct contact information is used.
  • Marketing Tracking and Analysis:
  • Track marketing campaigns and referral sources to evaluate the effectiveness of outreach efforts.
  • Monitor and report on key performance indicators (KPI's) related to marketing and referral intake activities.
  • Collaborate with the marketing team to assess data and identify trends to improve marketing strategies.
  • Data Entry and Record Management:
  • Maintain detailed records of all referral and marketing activities, ensuring data accuracy and confidentiality.
  • Update and manage databases to reflect real-time information on referrals, authorizations, and marketing outcomes.
  • Prepare reports on referral and marketing metrics, providing insights to support decision-making.
  • Customer Service and Relationship Management:
  • Serve as the main point of contact for referral sources, providing excellent customer service and maintaining positive relationships.
  • Respond to inquiries from clients, referral sources, and other stakeholders, ensuring timely and accurate information is provided.
  • Collaboration and Communication:
  • Work closely with marketing, sales, and client services teams to align referral intake with marketing campaigns and business goals.
  • Communicate referral status updates, authorization issues, and marketing performance insights to relevant departments.
  • Process Improvement:
  • Identify opportunities for improving referral intake, authorization, and marketing tracking processes, suggesting and implementing improvements as needed.
  • Stay informed of industry trends and best practices in referral management and marketing analytics.
  • Qualifications:
    • Education: High school diploma or equivalent required; Bachelor's degree in Marketing, Business, Healthcare Administration, or related field preferred.
    • Experience: Minimum of 1-2 years of experience in referral intake, marketing, customer service, or a related field.
    • Skills:
      • Strong communication and interpersonal skills, with the ability to build relationships with referral sources and CCU's.
      • Proficient in data entry, database management, and Microsoft Office Suite (Excel, Word, PowerPoint).
      • Analytical skills with experience in tracking and interpreting marketing metrics.
      • Detail-oriented, organized, and able to manage multiple tasks efficiently.
      • Familiarity with CRM or marketing tracking software is a plus.
    Working Conditions:
    • Primarily office-based or remote, with potential travel to CCU's or marketing events if required.
    • Standard working hours, with occasional need for flexible scheduling based on marketing campaigns, referral volume, or CCU meetings.
    Physical Requirements:
    • Ability to sit for extended periods and perform computer-based tasks.
    • May occasionally need to lift or carry materials related to marketing events or meetings, up to 20 pounds.
