Job Summary and Responsibilities:
The Regional Office Associate manages the operations of the regional office located in Eugene, consisting of individuals working in the Philanthropic Services (PSD) and Community Engagement and Equity (CEED) departments. The Associate manages all phases of regional event planning and is the lead staff member for multi-departmental events and projects. Responsibility for seasonal and special departmental projects that are best carried out in a regional office are included in the position duties. The Associate partners with the Regional Director in building and sustaining a great office culture and advances the delivery of the region's work with prospects, donors, nonprofits, volunteers, and legal and financial advisors. The Associate's actions have significant impact on the work and effectiveness of the region.
Office Operations (45%)
* In coordination with the regional team and other OCF staff, maintain regional office operations:
* Coordinate local operations with OCF-statewide, e.g., managing reception, welcoming guests, answering phones, processing mail, overseeing safety and security, handling contribution checks and legal documents, and overseeing office technology, office supplies.
* Manage scheduling of regional office conference rooms for internal meetings and outside groups and oversee guest services.
* Ensure that the janitorial needs of the facility are met, provide direction to janitorial staff.
* Serve as primary contact with landlord regarding security, maintenance, services, parking, signage, landscaping, interacting on routine matters, repairs, etc.
* Fulfill Operations/IT Team members requests for on-site assistance.
* Provide general administrative support for staff within the regional office:
* Collaborate to organize and support statewide goals and workflow.
* Collaborate to ensure data policies and procedures are understood and accurately implemented.
* Serve as the region's super-user in the CRM database, including data entry and generating reports and lists. Provide accurate data entry and quality control. Participate in data management projects. Assist in database updates, creating reports, filing electronic documents, and creating donor lists.
* Plan, lead, or co-lead team meetings. Provide other meeting support cross-departmentally.
* Proofread and occasionally draft important documents (e.g. donor agreements and letters, invitations, flyers).
* Support regional recruitment efforts.
Philanthropic Services Support (25%)
* Assist with research, scheduling and travel, meeting preparation, meeting and/or marketing materials, documentation of meetings and other contacts.
* Participate in special projects.
* Assist with entering, maintaining, extracting, and interpreting accurate data from the OCF database related to Philanthropic Services efforts.
Community Engagement, Outreach and Events (25%)
* In partnership with Event Manager and other staff, execute regional events. Manage, track, and monitor annual event planning and logistics and provide other support.
* Support events hosted by Philanthropic Services involving prospects, donors and Professional Advisors.
* Support Grant Advisory Committee meetings in coordination with relevant staff.
* Facilitate scholarship selection committees by assisting with meeting logistics.
* Provide event coordination for Leadership Council meetings, including venue arrangements, lodging and travel arrangements for council members, and meeting logistics. Serve as key contact on-site with venue and caterer.
Additional Job Duties (5%)
* Build philanthropy-specific and organizational expertise using the Foundation's website and intranet, staff training, external professional development, and other opportunities.
* Build and maintain knowledge of best practices and implement improvements.
Qualifications:
Education and Experience:
* Five years' progressively responsible experience in operations, administration, and event planning; volunteer management experience helpful.
* Two years' experience using constituent management software. Able to gather data and extract data to produce reports.
* Two years' customer service experience and a strong customer-oriented approach. Able to provide skillful, responsive, courteous service to both external and internal constituents.
* Bachelor's Degree; equivalent experience may be substituted in lieu of a degree.
* Requires valid driver's license and personal vehicle for regular use to effectively perform job duties. Ability to travel on occasion.
Travel (3%):
* Requires driving locally and at times regionally (in a seven-county area), with occasional trips to Portland. The need to drive is typically related to preparing for and attending events and meetings, and to office operations.
Working Conditions & Safety:
* Comfortable office environment.
* Physical effort includes repetitive use of the keyboard and monitor, use of telephone and office equipment, sitting or standing for long hours at a time, frequent lifting or carrying up to 25lbs (occasionally lifting up to 60lbs), frequent bending and stretching. It also requires occasional loading/unloading of store supplies, moving meeting room furniture, as well as carrying, pulling, pushing, reaching, and driving.
