Position Description and Responsibilities:

Animal Management Services (AMS) has oversight for Animal Records Management and the Records and Information Management (RIM) Program for Animal and Veterinary Records & training, Animal Transport & Logistics (live animals and biological samples), and compliance for animal transactions, internal and external policies, permits and regulations that impact the Saint Louis Zoo's three campuses at Forest Park, Sears Lehmann, Jr. Wildlife Reserve and WildCare Park. AMS is looking for an additional team member that has a passion for animals and conservation, records management, technology, information sharing, and compliance. We are looking for a positive team member who is respectful, inclusive, enthusiastic and goal oriented.

AMS Registrar responsibilities include:

* Work as a team member of Animal Management Services to ensure the RIM Program for Animal and Veterinary Records is maintained according to global and industry-specific best practices for RIM and Information Governance (IG), through the management of active and inactive animal records systems ensuring data quality, appropriate retention, protection, preservation and accessibility.

* Manage and monitor animal transactions and coordinate with the Curator of Animal Management Services to ensure legal compliance with local, state, federal and international laws, government regulations and industry-specific standards.

* Schedule domestic airline bookings for animals shipped via commercial air; assist departments with transport of animal(s) to the local airport, as well as any mid-way meet ups or short trips to deliver or pick up animals, as needed.

* Prepare all required documentation for Saint Louis Zoo animal shipments including animal transport plans and manage related Animal Transaction Files and indexing in the Electronic Document Management System (EDMS) and related quality control.

* Coordinate with the Administrative Assistant, Animal Health & Research, to ensure all required state entry permits for dispositions are requested and provided to AMS so they can be added to Certificates of Veterinary Inspections (CVIs).

* Prepare any required applications for transaction-specific permits for the Saint Louis Zoo's Destination Discovery experience and work with the Curator, Animal Management Services to submit to relevant wildlife agency (s). Manage documentation, indexing and compliance procedures for state-level collecting permits.

* Data management and governance using the Saint Louis Zoo's official animal record keeping system with oversight from the Zoological Manager/Registrar.

* Coordinate data quality and related compliance with animal record keepers' direct entries in the system, and related reporting.

* Conduct bi-annual review of collection activity and compile the annual animal census in coordination with the Zoological Manager/Registrar, Animal Management Services.

* Update existing online animal records training modules, create new courses as directed and assist the Curator of Animal Management Services in scheduling new hires, existing employees, and interns and interns for required training. Assist the Zoological Manager/Registrar in grading training assignments and providing feedback as needed.

* Provide coverage for Zoological Manager/Registrar duties at Sears Lehmann, Jr. Wildlife Reserve and WildCare Park when they are on business travel or other approved time off and/or as needed.

* Provide coverage for the Animal Care Administrative Assistant when they are out of the office and as required.

* Assist Curator and Zoological Manager/Registrar with AMS-led animal data conversions and migrations and digitization projects for animal records and other departments using the same EDMS.

* Prepare weekly collection activity reports for Animal Care.

* Schedule AMS intern and extern interviews, onboarding and training, recurring check-in and final evaluation meetings.

* Manage the AMS SharePoint and future transition to AMS Teams site in coordination with the Curator of Animal Management Services.

* Respond to requests for animal information from internal or external stakeholders including the Saint Louis Zoo Marketing, Public Relations and Membership departments and other zoological institutions requests.

Work Hours and Schedule

This is a hybrid position with an expectation of working onsite as needed and/or requested by the Curator of Animal Management Services. AMS staff work 7-4 pm M-F whether virtual or on-site at the Saint Louis Zoo or WildCare Park campuses or a combination of both virtual and remote work in a single workday depending on agreed upon schedule.

Qualifications:

* High school diploma and BS degree required.

* Certified Records Analyst (CRA) or Certified Records Manager (CRM) credential preferred or willingness to acquire.

* Completion of Zoological Registrars Association (ZRA) Training Certificate Program or willingness to acquire.

* 1-3 years related experience or equivalent combination of education, certification and experience.

* General knowledge of animal taxonomy, natural history and animal husbandry.

* General knowledge of animal welfare standards and wildlife laws and regulations specific to exhibition, breeding, domestic and international transport.

* General knowledge of collection management principles.

* Working knowledge of how to apply holistic records management professional practices to the management of zoological animal and veterinary information.

* Knowledge of global records management standards and best practices.

* Knowledge of cooperative animal management programs such as studbooks, the Association of Zoos and Aquariums (AZA) Species Survival Plans and Taxon Advisory Groups (TAGS).

* Excellent communication skills, computer literacy and knowledge of common software applications used in managing business records as well as zoological animal record keeping systems.

* Must submit to a background check and drug test.

* Must have or be able to acquire a Missouri Class E Driver's license.

* Must be able to travel to help with animal transfers, for professional development opportunities, and as needed to support animal units.
