Responsibilities

The Registrar provides registration, reception, and billing services to the HOPE Center in accordance with the Department's and hospital's mission and philosophy.

1. Serves as unit receptionist; greets and assists patients, visitors, physicians, and other hospital staff.2. Answer all phone calls professionally, indicating the department reached and their name. Responds to general information requests and triage calls to appropriate staff/programs. Prioritize in person patients, placing callers on a brief hold indicating approximate wait time and offering option to call back if unable to wait. 3. Accurately enters billing charges and the medical diagnosis for each encounter daily. 4. Pre-register patients one day prior to scheduled appointment to optimize patient care and manage patient flow. Contact patients to inform them if their insurance is inactive, insurance not accepted or if they need to update their PCP to be seen prior to their appointment. Inform Clinical Supervisor via email, of any insurance issues for all of PrEP and HIV positive patients. 5. Inform Data Manager via email of new HIV positive patients first attended appointment and other information as needed within 24 hours of visit. 6. Complete registration for all patients admitted to the HOPE Center, verifying patients' insurance, and scanning insurance cards, and updating demographic information during each visit. 7. Connect all walk-in patients and sick calls to nursing staff for appropriate triaging. Register patients which nursing staff indicate need to be seen by a medical provider. 8. Ensure all patients leave with a follow up appointment to keep patients retained in medical care. 9. Assist with canceling and rescheduling appointments as needed and perform functions to remind patients of appointments. Relay any changes to appropriate personnel. 10. Demonstrates awareness of and sensitivity to patient's rights. Maintains confidentiality of the patient.11. Submits copies of psychiatric encounters to Clinical Supervisor within one day of the last psychiatric service day.12. Submit clinic schedule indicating who attended and who was a no-show, to Clinical Supervisor by the end of each clinic day.13. Update providers schedule, block appointments or day as needed. 14. Responsible to actively participate in the Department's Quality Improvement and Quality Assurance efforts as directed by their supervisor, including but not limited to participation on the Department's Quality Improvement Committee. 15. Provide as needed data entry services for the HOPE Center, into the AIDS Institute Reporting Services System, and Access Caseload database as needed. Access pertinent information from the Meditech system as needed. 16. Assumes other responsibilities when assigned.

Qualifications

* Bilingual (Spanish/English), required Experience with registration and medical billing required Possesses well-developed and effective interpersonal skills and can communicate in writing. Demonstrates confidence in actions and exercises good judgment. Embraces and adapts to change Familiarity with medical terminology preferred Familiarity with Microsoft applications such as Excel, Word, PowerPoint Excellent and accurate word processing skills required. Ability to work in a fast-paced environment, independently yet collaboratively within a larger system. Exercises good judgment.

High school graduate or equivalency required
