- The Registrar is responsible for both the administrative functions and patient-focused care within the department. Key responsibilities include patient registration, insurance verification, maintaining updated financial and demographic information, and providing reception services. Additional duties are assigned as needed to support department operations.
Key Responsibilities
- Greet and direct patients, visitors, and staff in a friendly and professional manner.
- Answer telephones promptly and courteously, direct calls appropriately, take messages, and ensure timely delivery.
- Assist with patient referrals from affiliated physicians, escort visitors and patients, and provide necessary information and support.
- Promote an inclusive environment sensitive to cultural diversity.
- Distribute departmental materials, such as Emergency Department brochures, Health Care Proxy forms, and the Patient Bill of Rights. Ensure documents are readily available.
- Register patients by entering and updating demographic, financial, and emergency contact information in the system.
- Verify demographic details and insurance coverage through patient/family interviews.
- Prepare and generate patient charts according to established procedures, ensuring all pertinent information is attached.
- Review discharged patient charts for completeness and accuracy according to policy.
- Process laboratory specimens by confirming correct labeling, completing forms, and following identification protocols.
- File and retrieve patient charts and records as needed.
- Enter data into computerized systems and maintain patient recall files.
- Ensure all documents are properly stamped and filed according to established procedures.
- Log patients into the registration system and reconcile log books as needed.
- Obtain patient consent signatures and schedule clinic appointments.
- Maintain a safe, clean, and functional environment by addressing any physical plant or equipment issues with management.
- Assist in patient transport on stretchers or wheelchairs as required.
- Provide translation services as per protocol, when necessary.
Skills & Qualifications
- 6-9 months of healthcare experience preferred to become familiar with institutional policies and procedures.
- Strong interpersonal skills to effectively communicate and collaborate with patients and other department members.
- Basic computer literacy, including keyboarding skills, with the ability to enter and manage data efficiently.
- Strong organizational skills, including the ability to prioritize tasks, solve problems, and exercise sound judgment in complex situations.
- Proficiency in English, with sufficient oral and written communication skills to interact effectively with diverse populations.
- High school diploma or equivalent required to perform the essential tasks of preparing reports, keeping records, and effectively dealing with people.
