Position Summary
The Registrar directs and manages the development, operation, and evaluation of student records maintenance and registrar functions for the Institute. This role is essential for ensuring compliance with academic policies and fostering a positive environment for students, faculty, and staff.
Duties & Responsibilities
Essential Job Functions
Leadership:
- Develops and communicates Registrar's policies and procedures.
- Manages and develops Registrar's Office team members
College Catalog
- Oversees production of catalog working with Academic Program Directors and other departments; updates and publish College Catalog in an accurate and timely manner.
Student Registration and Enrollment Management
- Oversees the administration of student registration, enrollment, and course scheduling via the student information system (Jenzebar).
- Ensures timely and accurate dissemination of schedule and catalog information.
Academic Records Maintenance
- Maintains and updates student academic records, ensuring accuracy and data integrity across platforms.
- Functions as the data steward for all student data within the student information system.
- Manages and processes for requests for transcripts and verify graduation requirements.
Course Scheduling and Compliance
- Creates an accurate and conflict-free course schedule working with the Vice President of Instruction and Student Services and Academic Program Directors.
- Creates academic calendars.
- Audits course information for compliance with institutional policy and regulatory standards.
- Implement and enforce academic policies and procedures, assisting in their development and revision.
Interdepartmental Coordination
- Coordinates registrar activities with various programs and departments to ensure alignment with institutional policies.
- Address discrepancies and procedural issues, providing solutions and necessary follow-up.
Documentation and Reporting
- Directs the maintenance of a wide range of documentation and records, preparing reports for internal and external entities.
- Provides records assistance to federal and other official agencies, such as IPEDS.
Training and Development
- Provide ongoing training to academic department directors and support staff on registrar functions.
- Ensure continuous improvement and cross-training of office staff.
Graduation and Ceremonies
- Manage data exchanges and academic processes associated with commencement ceremonies.
Student Information System Implementation
- Participate in the implementation of the student information system led by the Collaborative of Higher Education Shared Services (CHESS), which includes attending meetings, providing input on system design, and conducting testing to ensure successful deployment.
Required Knowledge, Skills, and Abilities
- Knowledge of budget development, records management principles, and supervisory practices.
- Proficient in FERPA compliance and the Carnegie classification of credit hours.
- Excellent customer service, organizational, and problem-solving skills.
Work Environment and Physical Factors
- Ability to exert up to 20 pounds of force occasionally and maintain close visual acuity for tasks such as data analysis and computer work.
- The role is primarily office-based with minimal exposure to adverse environmental conditions.
Education, Experience, and Licenses
- Education: Bachelor's Degree required; Master's Degree preferred.
- Experience: Minimum of five years of experience in Records and Registration processes
- Two years of supervisory experience preferred.
