This is a customer service position as well as a position requiring efficient and accurate data entry, organizational skills and ability to work in a team setting.ESSENTIAL FUNCTIONS:
Provide effective customer service at the front counter and on the main telephone line by having a thorough understanding of applicable academic regulations, rules, laws, policies, and procedures related to registrar functions and applying that knowledge to the provision of information, problem solving, and information processingFacilitate the enrollment process on a daily basis, at general registration, during pre-registration, and SOAR, by providing information about changes of schedules, refunds, grading policies and procedures, deadlines, cancellation and rebuilding of schedules, grade appeals, transfer evaluations, encumbrances, academic advisement, prerequisites, drops, deleted sections, permissions, etc.Enroll Dual Credit studentsAssist Registrar to process graduation applications, develop a list and other materials regarding commencement each semester, develop diploma list to upload to service provider, update mailing addresses for pending graduates, review commencement program for accuracy, report graduates to National Student Clearinghouse for compliance purposesAssist students with loan deferments Manage Registrar's Office daily email accountPull a daily list of completed advisor graduations, print materials and add to student fileMonitor and order office supplies, diplomas and covers, copier supplies Prepare journal vouchers, pay credit card and invoicesSupervise update of currently enrolled student file labelsManage student employee hiring, assignments, time sheet approvalsApply the Family Rights and Privacy Act and other applicable laws and regulations to duties to ensure the integrity of student academic recordsAssist other members of Registrar's Office as time permits.Contributes to overall success of the Registrar's Office by performing all other duties as assigned.REQUIREMENTS:Education: High school diplomaExperience: Office experienceSkills: Computer literacy is required including knowledge of word processing, spreadsheets, and data entry. The ability to handle large volumes of calls and face-to-face inquiries in a friendly and professional manner is required. Duties entail accuracy, attention to detail, and ability to organize. Self-motivated, multi-tasker with strong written and verbal communication skills needed. Must know how to operate photocopier or other standard office machines and maintain complex filing systems and records. Must be able to train, assign work, and review the work of student workers.
