Job Description
We are seeking for An Appointment Setter, you will play a crucial role in coordinating appointments, managing client inquiries, and supporting the sales and customer service teams. Your primary responsibility will be to contact prospective and current clients, provide relevant information about our services, and secure appointments efficiently. You will be responsible for maintaining accurate records, handling follow-ups, and ensuring a professional and welcoming customer experience.
Your ability to communicate effectively, organize appointments, and build strong relationships with clients will contribute significantly to the company's growth and customer satisfaction.
Key Responsibilities
Outbound & Inbound Calls:
- Reach out to potential customers through phone calls, emails, and online inquiries.
- Respond to inbound calls and assist clients in scheduling appointments.
- Provide detailed information about our hair restoration solutions and address client inquiries.
Appointment Scheduling & Coordination:
- Schedule, confirm, and reschedule appointments efficiently using CRM and scheduling software.
- Coordinate appointment slots with hair specialists and ensure a well-organized service flow.
- Send appointment reminders via phone, email, or text to minimize cancellations and no-shows.
Client Relationship Management:
- Engage with new and returning clients to understand their needs and recommend suitable services.
- Maintain a professional and courteous approach when handling client concerns or requests.
- Follow up with clients post-appointment to gather feedback and encourage repeat visits.
Record-Keeping & Reporting:
- Maintain up-to-date records of customer interactions, scheduled appointments, and follow-ups.
- Generate and submit daily/weekly reports on appointments booked, cancellations, and customer feedback.
- Work closely with the sales and marketing teams to track client engagement and conversion rates.
Sales & Upselling Support:
- Identify potential upselling opportunities and educate clients about relevant services and offers.
- Assist the sales team in following up with potential leads and converting them into scheduled appointments.
- Provide insights on client preferences and appointment trends to improve customer service strategies.
Required Skills & Qualifications
- Educational Background:
- High school diploma or equivalent required; a Bachelor's degree in Business Administration, Marketing, Communications, or a related field is preferred.
- Experience:
- 1-3 years of experience in appointment setting, telemarketing, or customer service, preferably in the beauty, wellness, or healthcare industry.
- Communication Skills:
- Exceptional verbal and written communication skills in English and Hindi.
- Strong listening and interpersonal skills to engage effectively with clients.
- Technical & Organizational Skills:
- Proficiency in CRM systems, MS Office (Word, Excel, Outlook), and appointment scheduling software.
- Strong attention to detail and ability to multitask in a fast-paced environment.
- Customer-Centric Mindset:
- Ability to handle inquiries with patience, professionalism, and a problem-solving approach.
- A passion for delivering outstanding customer service and building long-term relationships.
- Sales & Persuasion Abilities:
- Strong ability to influence and encourage clients to book appointments.
- Knowledge of basic sales techniques and lead generation strategies.
