POSITION SUMMARYResponsible for planning, assisting and executing various tasks and projects as assigned that will support the growth and profitability of the Retail division.Corporate point of contact to support all retail store operations including but not limited to; purchasing, sign collateral production, store maintenance, invoice submission and management. Coordinates the planning of and leads the distribution of all non-sellable store supplies and training materials required for store operations.ESSENTIAL FUNCTIONS OF THE JOB
- Purchase and ship store supplies to retail store locations. Manage all non-sellable store supplies inventory and equipment.
- Input store supply orders in NetSuite to create transfer orders to stores.
- Manage store inventory claim tracker and communicate product quality issues to planners.
- Coordinate and approve store related invoices, submit and replenish store's petty cash, and process expense reports for payment.
- Reconcile divisional purchases on credit, submit and issue check advances as needed.
- Review and log maintenance invoices and collection of certificate of insurance.
- Interface with vendors for production of store packaging supplies. Monthly analysis and forecasting of inventory usage. Identify potential cost savings, update available store supplies ordering lists as needed.
- Produce and distribute store reports including but not limited to: annual Store Square Footage reports, monthly Sales to Profit reports, monthly financials, shrink report, weekly store payroll report, weekly store training report, store budgets, employee turn report, real estate traffic generated reports.
- Update store locations on company website, comment on and dispute validity of online reviews as needed, update store hours and other google business listing activities such as photos and new store account set-up. Manage the Yext subscription.
- Create, update and distribute store manuals, training directives and instructions, and others as needed.
- Maintain and publish all store contact lists, documents and other corporate contact information as needed.
Variable Job Duties:
- Assist with new store opening needs including supply set up, Certificate of Occupancy, Business Licenses and subscriptions, utility account management, communicating mall and landlord regulations to area and store managers upon opening. Same duties for store closing needs.
- Corporate communication for store opening/closing dates and all other important changes.
- Coordinate employee recognition events, store events and retail division meetings.
- Coordinate corporate retail division travel.
- Assist with store's annual physical inventory and cycle counts through on site assistance and/or preparing materials, reconciling and publishing results.
- Google Drive maintenance: Set up log-ins with IT assistance, create folders and permissions for new stores and employees, and upload revisions to manuals.
- Assist on site in stores for varied projects.
- Other duties as assigned.

QUALIFICATIONS
- Bachelor's Degree or four years of relevant experience.
- Prior retail stores experience preferred.
SYSTEM QUALIFICATIONS
- Proficient in MS Office Word, Excel, PowerPoint, Outlook, Adobe Acrobat.
- Knowledgeable in retail POS and order management software systems.
PHYSICAL REQUIREMENTS AND WORKING ENVIRONMENT
- Sitting, standing, carrying up to 40 lbs.
- Some travel required.
- Flexible working schedule may include nights, overnights, weekends and holidays.
- Ability to work in an office setting - in Downtown Portland.
