The role of a Sales Coordinator is truly the backbone of the Sales Team and is the link between the Sales Office and the Operations Teams.The Sales Coordinator position is very self-motivated as it requires the team member to take initiative to ensure that all BEOs are correct, communicate any follow-up information to the Sales Team and guests, sell and book smaller market-segment events, build relationships with community partners, build relationships with guests within the venue, and ensure that events and catering orders are executed correctly.

Requirements

Sales Coordination Performance
  • Obtaining BEO Details within Appropriate Time Frame
  • Ensure that BEOs are detailed by their deadline
  • BEO Details with Correct Execution Information
  • Ensure BEOs make sense operationally
  • Apply room capacities, floor plans, etc.
  • BEO Details with Correct Financial Information
  • Apply room minimums, financial charges, etc.
  • Maintain Direct Billing clients, and ensure timely payment
  • Event Execution
  • Serves as the main point of contact on designated high volume days
  • Manages assigned events on all aspects including event set up, lead the event huddle, greet the guest, and run point on execution
  • Ability to run and execute multiple events at the same time
  • Has the ability to assist in any capacity with event and catering execution
  • Ensure all guest concerns are fully addressed
  • Execution of Event and Catering SOPs
  • Ensure that all events are greeted by a member of the sales team
  • Actively spot check FOH and BOH execution
  • Check room set ups, food presentation, service timing
  • Follow up with team members as necessary
  • Balancing Event Financials
  • Ensure all event financials are correctly balanced daily/weekly
  • Review/balance Amount Due report weekly
  • Review Tentative report for location
Knowledge
  • Exhibits Knowledge of Event Packages and Catering Options
  • Ensure that explanations and descriptions are accurate
  • Understand the various packages and options
  • Exhibits Knowledge of Venue Capacities and Space
  • Knowledge on utilizing Space
  • Exhibits Knowledge of Sales and Reporting
  • Understand the Reports from DOS
Time Management
  • Ability to work Effectively and Manage Time
  • Ability to work in a high-volume venue
  • Ability to communicate to team members in a timely fashion
  • Ability to communicate to guests in a timely fashion
Guest Relations
  • Guest Engagement Before, during, and after the Booking Process
  • Have positive engagements with your guests
  • Maintain a guest-centered focus
  • Positively interact with guests to retain loyalty
  • Communicate with DOS regarding VIP Guests as necessary
Teamwork
  • Maintain positive interactions with sales team members and other departments
  • Exhibit team player attitude
  • Willingness to assist when necessary
  • Communicates effectively with other team members
  • Participates in weekly sales team meetings
  • Relationship with Venue Leaders
  • Work seamlessly with FOH and BOH Teams
