Position Overview:The Sales Coordinator supports the Director of Sales, Sales Manager, and Catering Manager in achieving sales goals by providing comprehensive sales support, maintaining customer satisfaction, and handling administrative tasks.Key Responsibilities:Sales Support:Assist in preparing and distributing sales materials, presentations, proposals, contracts, and promotional materials.Monitor and distribute sales leads from external sources (e.g., Sales Force, Meeting Broker) and coordinate follow-ups.Conduct hotel site inspections, greet clients, and support the team during client meetings as needed.Help in building Banquet Event Orders (BEOs) and managing banquet billing to support catering services.Compile weekly, monthly, and annual reports on sales, catering, and meeting services; assist with month-end reporting as needed.Customer Relationship Management:Serve as a primary point of contact for clients and prospects, addressing inquiries, tracking customer feedback, and ensuring a seamless handoff to the sales team.Support the retention and satisfaction of current clients by maintaining communication, following up on leads, and providing exceptional service.Assist in tracking and analyzing customer feedback to inform service improvements.Administrative Duties:Schedule appointments, meetings, and events for the Director of Sales and Sales Manager, optimizing their time management.Manage all incoming communications, including answering phones and emails, and direct inquiries to the appropriate personnel.Maintain and update organized filing systems for contracts, reports, sales databases, and client files, ensuring all records are accurate and up to date.Maintain sales collateral, supplies, and amenities inventory and oversee office equipment maintenance.Data Management and Reporting:Oversee database management, maintaining negotiated account rates, production histories, mailing lists, and client records.Generate reports on sales performance metrics, KPIs, and trends for weekly, monthly, and quarterly reviews, identifying areas for improvement.Event Planning and Logistics:Assist in planning and coordinating sales events, client meetings, and trade shows, including arranging venues, materials, and logistics.Organize product demonstrations and client presentations, managing logistics and materials for a seamless experience.Qualifications:1-3 years of experience in a sales support, administrative, or hotel catering/guest services role.Proficiency in MS Office Suite and CRM software (e.g., Salesforce, HubSpot).Strong communication skills, with the ability to work independently and collaboratively in a fast-paced environment.Strong organizational skills with a detail-oriented and customer-focused approach.Ability to manage multiple priorities, meet deadlines, and maintain a professional appearance as outlined in the Team Member Handbook.Physical Requirements:Ability to sit or stand for extended periods and lift up to 40 lbs.
