Location: McLean, VA (Hybrid – 3 days a week onsite)

Pay: $30 - $34/hr

Type: Contract (4 months, with possibility to convert)

Addison Group's client enhances the lives of individuals with food allergies by empowering them through education, advocacy, and awareness. They are seeking a Scheduler to provide high-level administrative support during a medical leave period. This role is crucial in ensuring smooth scheduling and executive coordination, particularly for their CEO.

Job Description:

The Scheduler/Executive Administrator will serve as a key administrative support to the CEO and executive team. This role will primarily focus on complex scheduling, calendar management, and coordinating travel arrangements, along with serving as the front-desk receptionist. The ideal candidate will be highly organized, adaptable, and professional, with the ability to pivot as schedules frequently change.

Key Responsibilities:

  • Manage and coordinate complex executive schedules, ensuring seamless calendar management
  • Arrange travel accommodations
  • Handle scheduling conflicts, last-minute changes, and high-priority appointments
  • Serve as the primary receptionist, greeting visitors and answering calls professionally
  • Liaise with internal and external stakeholders, ensuring effective communication
  • Assist with special projects as directed by senior leadership
  • Maintain confidentiality and professionalism at all times

Qualifications:

  • Experience: 5-7 years of administrative support experience, preferably supporting C-suite executives
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Nexonia or Concur for expense management
  • Soft Skills: Strong written and verbal communication skills, ability to work independently and as part of a team, high level of professionalism
  • Education: Bachelor's degree preferred or equivalent experience
